The Property Services Coordinator supports the Facilities and Contracts Manager in coordinating and
managing day-to-day facilities services across the company's portfolio, ensuring the effective delivery of maintenance, cleaning, security, and other essential building services. This role includes providing support for site sourcing activities related to leasing and room hires and assisting with site set-ups and closures.
The position focuses on maintaining high standards of facility operations while ensuring compliance with company policies, workplace health and safety requirements, and service level agreements. The
coordinator possesses strong working knowledge of Facilities management and WHS compliance matters in regional, remote, and community environments, understanding the unique challenges and requirements of managing facilities in these locations, including logistics coordination, local supplier relationships,infrastructure limitations, and community engagement considerations.

What will you be doing?
- Coordinate and oversee the delivery of facilities services including cleaning, security, maintenance, and other contracted services
- Provide assistance for facility services related matters to clients and staff by either face to face, email, phone or other approved methods to ensure Facilities are meeting MAX and client expectations
- Perform property and asset assessments to ensure Facility related WH&S and other identified risks throughout the organisation are consulted and mitigated
- Conduct regular site inspections to ensure facility standards and compliance are maintained and adhered to
- Assist in sourcing of new property locations and with the set up and closure of sites
- Coordinate and manage site relocations, ensuring minimal disruption to operations
- Oversee make good activities to ensure sites are returned to required standards as per lease agreements
- Maintain and manage a comprehensive Facilities Compliance Schedule for all preventative maintenance and compliance activities across the portfolio
- in colloboration with the Facilities and contracts Manager, manage and administer the facilities help desk system, ensuring timely response to and resolution of facilities related requests and issues
- Monitor contractor performance against service level agreements and maintain quality standards
- Coordinate scheduled maintenance programs and track completion of preventative maintenance tasks
- Manage facilities related inventory including furniture, equipment and supplies
- Maintain accurate records of all facilities service's activities, contracts, and compliance documentation
- Process facilities related invoices and maintain budget tracking records
- Assist in the development and implementation of facilities procedures and protocols
- Experience in facilities or property management or similar field
- Demonstrated contractor management and service delivery oversight
- Ability to read and interpret commercial leases and manage service level agreements
- Proficiency in facilities management software systems
- Experience with processing invoices and financial record maintenance
- Solid understanding of core building systems and Codes
- Trade Background or Relevant qualification in Property/Facilities Management, WHS, or related Business field
- Fire Safety Advisor Certification
- General Safety Induction Card (white card) and WHS certification IV (preferred)
- First Aid Certification (preferred)
- Class C Driving licence
- Be able to obtain a mygov ID
- Hold or have the ability to obtain a current Police Clearance and Working with Children Check
