About You

We are looking for a proactive and experienced Office Manager to oversee the day-to-day operations of our Sydney office. You are a highly organised and resourceful individual who thrives in a dynamic environment and takes pride in creating a welcoming and efficient workplace. You are the go-to person for all things operational from facilities and vendor management to supporting leadership and onboarding new team members.

You are confident in making informed decisions independently and you bring a strong sense of ownership to your work. This role is part-time with a work schedule of 3 full days per week. 

What You Do

As an Office Manager, you are the operational backbone of the office. You work with a high degree of independence and are trusted to make informed decisions that keep the office running smoothly. You are a seasoned professional who brings structure, efficiency, and a welcoming atmosphere to the workplace. Your ability to anticipate needs, solve problems, and support both leadership and team members makes you an essential part of the business.

  • Provide direct administrative and operational support to the Managing Director & Senior Leadership Team including managing expenses, scheduling and providing support for external meetings.
  • Liaise with HR and Finance teams on office admin, bill payments and subscriptions.
  • Support the onboarding of new hires, setting up equipment, preparing welcome packs and ensuring access and readiness from day one.
  • Act as the primary liaison with building management to resolve office space issues and maintain a safe and functional environment.
  • Organise all aspects of office operations including maintenance, supplies, equipment, bills, and vendor coordination.
  • Ensure the office including the kitchen, reception and restrooms is neat, clean, and always client ready.
  • Coordinate with the Tech Team to ensure all office equipment are functional and up-to-date.
  • Maintain accurate filing systems and records ensuring data is current and compliant.
  • Manage office supplies inventory and petty cash for office events and activities.
  • Maintain a centralised directory of up-to-date vendor and service provider contacts.
  • Research and coordinate venues, transportation and catering for meetings and events.
  • Support health and safety compliance including annual risk assessments and day-to-day H&S matters.
  • Take on additional tasks as needed to ensure operational effectiveness of the office.

What You Offer

  • .2- 4 years of experience in administrative support
  • Proficient in Microsoft Office and Google applications such as Outlook, Docs, Sheets, Word and Excel.
  • High level of competency in English both verbal and written.
  • Demonstrated ability to manage office operations independently and efficiently.
  • Comfortable working in a fast paced environment and supporting cross functional teams.
