Role Purpose:

We are seeking a highly organized, proactive, and adaptable Team Assistant / Office Manager to provide seamless administrative and office support to a team of 4 Underwriting Heads and 4 Functional Leaders. The ideal candidate will thrive in a fast-paced environment, demonstrate exceptional multitasking abilities, and be the go-to person for operational coordination and office management tasks.

Key Accountabilities:

  • Administrative Support
  • Provide general administrative support to the team, including travel bookings, expense management, restaurant bookings.
  • Organize and coordinate team travel arrangements (flights, hotels, transportation).
  • Prepare and process office documents, such as invoices, purchase orders, and expense reports.
  • Assist with ordering of catering for breakfast/lunch meetings.
  • Office Management
  • Oversee the day-to-day operations of the office, ensuring a clean, organized, and well-equipped work environment.
  • Manage office supplies and inventory, ordering new stock as necessary.
  • Liaise with building management and external vendors for office maintenance and repairs.
  • Coordinate office events, such as team meetings, social activities, and celebrations.
  • Ensure compliance with health and safety regulations and maintain a safe work environment.
  • Setting up and clearing meeting rooms as required.
  • Team Coordination
  • Act as a liaison between different departments or teams, ensuring effective communication and collaboration.
  • Help onboard new employees, providing them with necessary office resources and information.
  • Client and Visitor Management
  • Greet visitors and clients, ensuring a welcoming and professional atmosphere.
  • Manage guest visits and appointments, including conference room bookings and catering arrangements.
  • Other Duties
  • Provide additional administrative support as required, helping with special projects or ad-hoc tasks.
  • Take on any other duties as assigned by the office management team or senior staff


Key Requirements

  • Proven experience in an executive assistant, team assistant, or office manager role.
  • Strong organizational and time management skills with the ability to prioritize effectively.
  • Excellent interpersonal and communication skills.
  • Proficiency in Microsoft Office Suite (Outlook, Word, Excel, PowerPoint); experience with Microsoft Teams or similar collaboration tools is a plus.
  • Concur experience highly regarded but, not essential.
  • Ability to handle confidential information with discretion.
  • Comfortable working independently and taking initiative.

  • Experience working in insurance, financial services, or a corporate environment.
  • Demonstrates strong initiative and excels at working independently.
  • Positive, can-do attitude and a proactive mindset.
