UGL has a strategic partnership with the Department of Defence across the Defence Fuels Network for Fuels Management, Asset Management, Operations and Maintenance. We are recruiting a Invoice & Inventory Analyst to join our business in what is an exciting and unique opportunity to work in Australia’s Defence environment and support national security requirements of the Nation.
The Opportunity
The Invoice and Inventory Analyst is responsible for validating and verifying fuel supplier invoices, ensuring data accuracy, consistency and integrity across the organisation’s inventory system. The role supports the Fuel Pricing Analyst by ensuring that all suppliers charges align with contract pricing and delivery records.
Key responsibilities:
- Reconcile fuel supplier invoices against delivery records, contracts and pricing schedules.
- Escalate anomalies, discrepancies, or pricing errors to the Fuel Pricing Analyst and Contracting teams.
- Maintain a central repository of invoice data for audit and tracking purposes.
- Manage the ongoing inventory reconciliation process between physical and book stock positions.
- Identify and report anomalies that could indicate loss, theft, fraud or system errors.
- Conduct periodic stocktakes and variance analysis in collaboration with Operations.
- Act as an SME for inventory and invoicing processes during ERP(SAP) implementation.
- Assist in data migration, user acceptance testing, and go-live validation of inventory and invoice modules.
- Document legacy processes and contribute to the design of future-state workflows.
- Identify opportunities to streamline the invoice verification and inventory reconciliation processes.
- Contribute to the development of SOPs and work instructions related to invoice and inventory
- management.
- Liaise with the fuel supplier and internal stakeholders to resolve queries and discrepancies.
- Collaborate with Finance, Procurement and IT teams to ensure end-to-end process alignment.
Ideal attributes

- 5+ years proven experience in fuel supply chain operations or related industry
- Accounts Receivable or Payable experience.
- Awareness of the fuel industry across Australia would be an advantage
- Strong ability to influence stakeholders laterally and vertically.
- IT literate, Excel: Expert, SAP preferred.
