Position Overview
Altum is looking for an organised and proactive Supply Chain Coordinator to join our team. This role reports to the Head of Operations & Regulatory and supports a broad range of operational activities across the business, including supplier management, product development, procurement, logistics, distribution, inventory management, and maintenance of key documentation and systems. This position will lead several core business activities with partners in Australia and internationally, and work within the Operations team and across the business to deliver key outcomes.
While experience in pharmaceutical supply chains is an advantage, we welcome candidates with general supply chain or coordination experience who are interested to grow their knowledge in a regulated industry environment. We are open to candidates across Australia, with a preference for those based in Melbourne or otherwise on the east coast of Australia.

Key Responsibilities
- Purchasing & Order Coordination
- Assist with the coordination and development of Altum’s purchasing plan through the monthly S&OP process.
- Coordinate supplier orders from PO, production scheduling to delivery ensuring that stock is received securely, accurately and on-time.
- Maintain and manage purchasing and importation documentation and keep inventory systems and other tracking tools updated to reflect order status and stock movements.
- Track and manage invoicing, payments, and credit notes in conjunction with the Finance team.
- Stakeholder Management
- Maintain strong relationships with key suppliers, manufacturers, distributors and other customers.
- Assist with the assessment, onboarding and review of vendors.
- Develop and improve processes and ways of working with key stakeholders.
- Assist with the development and negotiation of contracts, agreements and product specifications.
- Monitor stakeholder performance against KPIs, manage risks and issues, and prepare performance reports for internal and external use.
- Logistics and Inventory Coordination
- Manage applications and assignment of import permits with the ODC.
- Review, manage and appropriately file consignment documentation.
- Coordinate importation and/or movement of controlled medicines with third party logistics providers.
- Assist with the identification of optimal logistics routes and storage solutions.
- Work with the Supply Chain Analyst to manage inventory levels across multiple branches to meet sales and production demand while minimising excess stock.
- Distribution Coordination
- Work with customers and distribution partners on forecasting, incoming deliveries and overall stock management.
- Ensure distribution activities are undertaken compliantly.
- Support the Customer Service and Quality teams with defects management, and reverse logistics where required.
- Monitor distribution performance metrics to identify issues and areas for improvement.
- Internal Communication and Coordination
- Provide regular updates to internal teams regarding ETAs and stock movements.
- Act as a liaison between departments to ensure timely information flow and effective coordination throughout the supply chain process.
- Liaise with the Product team on ordering and logistics elements for new products or changes to existing products.
- Reporting & Procedures
- Contribute to the development and ongoing refinement of standard operating procedures (SOPs) related to supply chain management.
- Prepare reports from inventory systems, planning tools and other sources and provide analysis on supply chain metrics and KPIs.
- Assist with the preparation of reports to regulatory bodies such as the TGA, ODC and/or State health departments.
- Assist with maintaining a continuous improvement culture by identifying areas and opportunities for improvement across the business.
- University degree and/or relevant certifications in supply chain, logistics, business administration, or another relevant field.
- 1–4 years of experience in a supply chain, procurement, logistics, or general coordination role, preferably within the pharmaceutical, medicinal/wellness or consumer goods industries.
- Proficient with key business tools for document management, communication and project management (e.g. Microsoft 365, SharePoint, Asana, etc.).
- Excellent communication and interpersonal skills, and demonstrated ability to work collaboratively.
- High attention to detail, initiative, and problem-solving capabilities.
- Experience working with international suppliers, distributors and freight providers.
- Understanding of ERP systems and inventory management tools. Experience with Cin7 Omni and/or Streamline is especially advantageous.
- Knowledge of relevant industry regulations and standards relevant to Schedule 4 and Schedule 8 substances (including Good Manufacturing Practice, controlled importation, temperature controlled logistics, etc.)
- Proficiency with Microsoft Excel and SharePoint to build and maintain key business information, tools and documentation will be highly regarded.
- An interest or experience in AI and workflow automation tools (LLMs, n8n, Zapier, etc.).
