As the Information Manager, you will collaborate closely with business leaders to ensure compliance with regulatory standards, driving efficient and effective management of information, records, and document control processes. This role will support RAAFA’s privacy and security programs and lead data governance initiatives, ensuring regulatory compliance and fostering a secure, efficient and digitally enabled environment. As the subject matter expert for RAAFA’s CDMS and EDRMS, you will lead and oversee the Information Management team of five, fostering a culture of excellence and continuous improvement.

- Management of RAAFA’s information and records service across the full lifecycle, ensuring effectiveness, efficiency and compliance with regulatory and organisational standards, while preserving the integrity of information.
- Collaborate with relevant stakeholders to establish and oversee RAAFA’s data governance framework, ensuring quality, security and integrity of RAAFA’s data.
- Champion information management awareness and promote consistent practices (creation, transfer, retention and disposal) across RAAFA.
- Plan, coordinate and execute active/archive record schedules in collaboration with business units, including record transfers to archive facilities.
- Develop, implement and maintain a records quality auditing process to ensure continuous improvement and compliance with agreed standards, policies, procedures and develop action plans in collaboration with stakeholders to address areas for improvement.
- Maintain the business classification scheme and electronic document and records system (EDRMS).
- Coordinate the search, retrieval and secure handling of archived records for internal or external use.
- Oversee the development, review and publishing of controlled documents and templates in collaboration with key stakeholders.
- Ensure privacy and security programs adequately protect the organisation’s systems and data, including identifying and assessing privacy risks, developing mitigation strategies.
- Coordinate the development and regular review and update of training and reference materials associated with records managements, RAAFA Hub, CDMS and the EDRMS.
- Lead or participate in incident response efforts related to privacy/security breaches or threats, ensuring effective incident reporting and support/guidance in developing and implementation of remediation plans to address identified issues and prevent recurrence.
- Undertake other tasks for the Chief Information Officer as required.
- Relevant tertiary qualification in Records and/or Archives Management or a related field.
- Demonstrated experience in a senior records/information governance role, leading enterprise-wide records management programs (EDRMS), Controlled Document Management System (CDMS) and related platforms, preferably SharePoint.
- Comprehensive knowledge and understanding of records and information management principles, legislation and standards.
- Expertise in lifecycle management of records, including classification, retention, archiving and disposal in both physical and digital environments.
- Proven ability to manage and support information access and release processes, including privacy compliance and confidentiality controls.
- Familiarity with risk management frameworks and their application in information-related risk mitigation.
- Strong administrative skills, analytical and problem-solving skills, with a focus on accuracy, attention to detail, continuous improvement and risk mitigation.
- Well-developed communication and interpersonal skills to develop effective relationships and communication at all levels.
