Executive Assistant- Sydney
- Permanent Full Time role, Sydney CBD location
- Provide executive and administrative support to two General Managers
- Grade 5/6 offering starting salary $99,938 plus super
About the Role
As the Executive Assistant, you will play an integral role in supporting our General Managers. You will be proactively managing schedules, streamlining administrative tasks and ensuring the seamless flow of communication and priorities. Your ability to anticipate needs, stay one step ahead, and maintain absolute confidentiality will be key to your success.

Duties
It’s an exciting time at icare where no two days are the same; as an Executive Assistant you will provide:
- Effective diary management including screening meeting requests from internal and external stakeholders, negotiating scheduling times and resolving diary clashes in a way which facilitates optimal use of the General Managers’ time.
- Light inbox monitoring for the General Managers to support informed decision making and planning, including notification of urgent emails and time-sensitive priorities.
- Onboarding and offboarding logistical support for direct report team members of General Managers.
- Management of information and coordinate action follow up using discretion, initiative and confidentiality to enable sensitive matters to be dealt with appropriately.
- Effective administration operations support including managing and booking travel for General Managers as required, including coordinating approvals, itineraries and payment.
- Event management support for the General Managers’ direct report team including coordination of logistics, catering, venue and tech equipment management, distribution of papers and liaising with guests.
- Support for procurement activities i.e. payment of invoices and creation of purchase requisitions as appropriate for General Managers.
- Support during the reconciliation process for General Managers.
- Support to General Managers’ teams with project related tasks as required in alignment with development goals.
Skills & Experience
- Adaptive, proactive, and solutions-focused
- Exceptional time management, critical thinking, and attention to detail
- Ability to manage multiple priorities and remain composed under pressure
- Strong communication and interpersonal skills, with the ability to liaise effectively with a wide range of stakeholders.
- Excellent diary and calendar management for multiple managers
- Highly proficient in Microsoft Office, Teams and Visio
