Job Summary
As a Logistics Coordinator you will be responsible for monitoring shipments, managing exceptions and considered to be a Subject Matter Expert, serving as the point of contact for logistics related questions in the APAC region.
Your primary role is to ensure smooth transportation and delivery by pro-actively coordinating resolution (together with our carriers) and optimizing our processes.
The role is part of the Global Logistics Services group, of which a big portion of is working in a different time zones. The total team is 10 people.
This position works closely with carriers, CTM/Kit Building (Melbourne), Lab/Biorepository Services (Melbourne) and other Logistics Services team members – focusing on timely and cost-effective delivery of our shipments.
In the day-to-day job the Logistics Coordinator will focus on all operational aspects of the logistics process:
- Tracking and Monitoring shipments from the site in Swalmen to the consignee as well as tracking and Monitoring shipments from the sites in mainly APAC to the lab
- Support with monitoring shipments to labs in other parts of the world (e.g. US and Europe)
- Notify, register and resolve shipments with an exception together with our carriers
- Analyzing collected data to identify trends, bottlenecks or potential problems
- Creating related reports
- Primary contact for carriers on pre-conditions for logistics processes (e.g. set-up account numbers, systems, label printers and other carrier related requirements).
- Provide logistics support to the teams, acts as SME on operational logistics matters
- Provides guidance (after consulting the carriers) on compliance and regulatory topics. Works with the carriers on customs related questions
- Maintaining communication with various stakeholders, such as carriers and internal departments. Ensuring all parties are aware of the requirements, planning and any changes in the process
- Support in business reviews of the carriers, involved in making the process better together with our carriers.
- Support in implementing new studies and/or new customers
- Performs other related duties and tasks as necessary or as assigned
What are we looking for?
- Most of all, the Logistics Coordinator is independent and thinks in solutions. The role expects the person to be proactive and able to think ahead.
- Strong communication skills (English), both spoken and written
- You are familiar with transport and logistics processes. You have knowledge of laws and regulations regarding the transport of medication & medical supplies
- The Logistics Coordinator has a basic knowledge on Excel and other Microsoft applications
- The Logistics Coordinator has a positive mindset, is motivated and can work in a fast-paced environment
Employment conditions
- Work in day-shifts mainly (in the range between 08:00 – 18:00). Occasionally out of office support might be required / needed.
- On-site in Melbourne, with option to partly work from home.
- Work with a remote team, located in a different time zone EST and CET.
