Job description:

We are looking for an experienced Project Administrator to join our project in Darwin. This is initially a short-term contract (approx. 3-4 months) with the opportunity to extend. The role is full time hours, Monday to Friday at the site office in Darwin.

The role of the Project Administrator is to support the Project Manager, direct reports and project personnel to ensure the smooth operation and organisation of the team and to relieve them of any routine administrative duties.

Your focus will include but is not limited to:

  • First point of call for phone calls, general enquiries and assisting internal and external stakeholders
  • EA/PA support to the Project Director, Project Manager and other senior staff members while on-site. Including day-to-day administration duties, including email management, correspondence and highlight actions for their attention
  • Assist with flight, accommodation and roster change requests for all staff members.
  • Support the mobilisation team with overflow workload.
  • Build strong working relationships with internal staff, contractors, and external stakeholders.
  • Reporting, including compiling monthly invoices, including prepare and complete requisitions and purchase orders, receipting and invoice reconciliation.
  • Correspondence for project team
  • Develop presentations including formatting.
  • Meeting coordination, including minute taking and follow up on actions as required.
  • Organising functions and events

What you will bring to the team:

  • 5+ years in a similar position
  • Ability to multi-task
  • High level of communication
  • Strong computer skills, including excel skills
  • Ability to work in a fast-paced environment with conflicting deadlines
  • Friendly, positive attitude with the abilty to maintain calm in challenging situtations
