About The Role

This full-time, permanent role will provide operational and administrative support to our Headquarters and its wonderful People, ensuring the smooth day-to-day running of NA’s office environment, service delivery to internal and external stakeholders, and accurate management of employee records, onboarding/offboarding processes, and compliance requirements. This role plays a critical part in maintaining a professional and welcoming workplace experience while supporting key operations related to our people and systems. Key responsibilities include:

People & Culture Coordination And Administration

  • Coordinate recruitment administration, including job advertisement drafting, interview scheduling assistance, and candidate communications in a clear and inclusive manner.
  • Own and coordinate end-to-end onboarding and offboarding processes, ensuring a seamless and positive experience for new starters and departing employees. This includes management of pre-employment documentation, inductions, departure documentation, checklist completion, and system access removal.
  • Provide scheduling assistance with the scheduling of people related lifecycle touchpoints such as 3-month P&C check-ins, probation reviews, engagement and pulse surveys, and exit interviews, ensuring timely follow-up and accurate record-keeping
  • Draft employment contracts, contract variations, and HR correspondence using approved templates and ensure timely issue, return, and secure filing of all documentation.
  • Maintain accurate and compliant employee records across Employment Hero, SharePoint, and other relevant platforms, supporting the full employee lifecycle.
  • Support compliance with Occupational Health & Safety (OH&S) requirements, including maintenance of signage, hazard mitigation measures, and workplace risk controls.
  • Manage the shared People & Culture and Corporate Services inboxes, triaging or responding to staff enquiries professionally, confidentially, and in a timely manner
  • Monitor and track critical HR dates and milestones (e.g., contract end dates, probation periods), assist with reporting requirements.
  • Provide support towards broader P&C projects and initiatives.

HQ Administration

  • Serve as the primary point of contact for internal and external visitors to HQ, delivering a professional, welcoming experience. This includes managing visitor check-ins, advising team members of guest arrivals, escorting visitors to their scheduled meeting rooms, and offering hospitality such as refreshments.
  • Oversee incoming and outgoing mail and courier deliveries, as well as manage the Australia Post Business account, as well as ensure prompt distribution, accurate tracking, and correct invoice coding.
  • Order and manage catering for HQ events/functions/workshops with both internal & external stakeholders.
  • Maintain high standards of cleanliness and presentation across office, kitchen, and bathroom facilities. Responsibilities include daily tidying, restocking hygiene and kitchen amenities, managing the breakfast bar, and operating dishwashers.
  • Ensure all HQ printers are regularly stocked with paper, toner, and ink. Monitor and replenish general office stationery to maintain operational readiness.
  • Act as the key liaison for HQ’s external service providers, such as cleaners, security, waste management, plant maintenance, software vendors, plumbing and general maintenance services.
  • Coordinate building-related matters with the Body Corporate and local council, such as addressing graffiti, vandalism, or maintenance issues, and maintain clear communication regarding resolution progress.
  • Manage asset register for building access cards and garage remotes, including maintaining accurate records of assignments, overseeing returns upon staff departure, arranging replacements and payments for lost items, and monitoring stock levels.
  • Provide first-level support administrative support for internal systems and software, including but not limited to the NA intranet, Employment Hero, Uber Business, and Stage & Screen, and escalating technical or complex issues as required.
  • Drive HQ related engagement initiatives, lead event coordination & planning for staff, and provide any ad-hoc support to the business as and if required.

About You

We are looking for the newest member of our wonderful People & Capability team, who possesses the following Attributes, Skills and Qualifications:

  • 1-2 years’ previous experience working as a Human Resources Administrator, or similar, supporting employee lifecycle activities such as onboarding, offboarding, and contract management
  • Ability to support end-to-end recruitment administration, including job advertisement preparation, interview coordination, reference checks, onboarding and inductions.
  • Previous exposure drafting employment contracts, contract variations, and HR correspondence using templates
  • Ability to handle sensitive information with discretion and care, maintaining confidentiality
  • Proven understanding of HR compliance and recordkeeping, including privacy, confidentiality, and workplace health and safety best practices
  • Willingness to assist with general office operations, working with staff as well as external stakeholders and suppliers, helping to coordinate workplace facilities as needed to maintain high office standards
  • A team player with a positive, solutions-focused attitude and a genuine interest in supporting the People & Culture function
  • Proven organisational and time-management skills, with the ability to manage multiple priorities and deliver high-quality work within the required timeframes
  • Friendly and professional communicator, able to build positive relationships with colleagues and external stakeholders
  • High attention to detail and motivated to maintain accurate and compliant employee records and documentation
  • Approachable and inclusive demeanour, with a genuine interest in creating a supportive and respectful workplace culture
  • Able to manage competing priorities calmly and effectively
  • Collaborative team player who enjoys contributing to a supportive People & Culture and Corporate Services activities and is excited by the opportunity of a dual role
  • Ability to work autonomously
  • Familiarity or previous experience working within a not for profit or sporting organisation is a plus but not essential
