About The Role

The Digital Office Services Supervisor is responsible for leading the national operations of the DOS function. This includes ensuring a safe, compliant and consistent service delivery to the firm, while also driving operational improvements in collaboration with the firm's innovation team.

The Digital Office Services team supports the firm through a wide range of essential services: managing mailroom operations, digitising documents, distributing internal mail, coordinating courier bookings, and overseeing document management - including storage, retrieval, and secure destruction, and safe custody materials. The Digital Office Services team also play a critical role in Facilities coverage, including any issues or urgent needs that may arise particularly at the start and end of each day. The team steps in to manage and resolve matters as needed, maintaining continuity and responsiveness.

Responsibilities

National Oversight & Team Management


  • Lead the DOS function across Sydney, Melbourne, Brisbane, and Canberra, ensuring operational consistency and collaboration
  • Manage team coverage and liaise with Facilities and Practice Group contacts to meet safety and service standards, including during absences


Policy, Process & Innovation


  • Ensure DOS policies and procedures are understood and followed; collaborate with the Facilities Manager to evolve them for compliance, efficiency, and cost savings
  • Drive process improvements focused on paperless operations, sustainability, and procurement efficiency
  • Partner with the innovation team to enhance service delivery and identify cost-saving opportunities


Performance & Vendor Management


  • Track and report key metrics on workload and productivity
  • Oversee service providers and suppliers, managing contracts and complaints
  • Support budget preparation and invoice processing


Operational Contributions (Melbourne)


  • Handle mail tracking, digitisation, and distribution; upload to iManage and manage document destruction per risk policy
  • Process outgoing mail and book couriers
  • Manage stationery orders, branded items, and WELL thermal products
  • Validate contractor attendance and issue access credentials
  • Provide reception coverage during lunch and end-of-day periods


About You


  • Certificate or Diploma in Administration would be highly regarded
  • Proficient skills in Microsoft Office Suite and practical experience/confidence with technology systems and software including digital systems and apps, knowledge management systems and online ordering platforms
  • Previous experience in a Supervisory role within a mailroom or office environment, professional services industry experience would be highly regarded
  • Strong customer service and communication skills, with a focus on creating a positive experience for staff and clients. Experience engaging with a diverse range of stakeholders, including Senor Stakeholders
  • Success in proactively improving processes and systems and the ability to effectively problem solve
  • Organisational skills with the ability to work collaboratively in a team and manage multiple tasks efficiently adapting to shifting priorities.
  • Strong organisational skills with the ability to manage multiple tasks and projects simultaneously, prioritise work effectively, and meet deadlines
  • Meticulous attention to detail with a focus on maintaining the security and integrity of office systems and data
  • Capable of performing in a physically demanding job entailing a lot of walking and manual lifting
  • Numerical skills, coupled with the ability to process and analyse data to solve problems, make informed decisions and recommend appropriate course of action
  • Excellent written and verbal communication skills, including the ability to effectively communicate with all stakeholders, including Senior Stakeholders
  • Well-developed interpersonal, negotiation, influencing and relationship building skills
  • Ability to drive continuous improvement in processes and service
