Reporting into the Head of Human Resources, the new HR Administrator & HR Project Coordinator (“HRA”) will be based at our Notting Hill head office in Victoria, enjoy flexibility, and have the option of hybrid working. The HRA is to play a key role in supporting the HR team by assisting with a variety of operational functions ranging from HR to Recruitment, Payroll, and ER. You will also support strategic HR projects to contribute to the overall success of HR initiatives and the employee experience.
Key responsibilities include but are not limited to:
- Provide efficient and effective administrative, process development, and project support to the HR team;
- Maintain timely, accurate, and confidential employee records and documents on all HR systems;
- Manage and maintain the HRIS and LMS for existing and new employees;
- Respond to employee and manager queries related to systems, forms, and policies;
- Track and drive timely completion of probation and performance related appraisal deadlines;
- Administer reward and recognition programs, and prepare and publish all-company weekly announcements;
- Lead and deliver HR and EVP related projects, e.g. welcome / induction workshops, charity initiatives, and social events, as required by the Head of Human Resources;
- Support the Recruitment Partner with various recruitment activities and employment documentation;
- Coordinate and facilitate onboarding and offboarding activities;
- Act as the Return-to-Work Coordinator, handling claims and stakeholder liaison as required;
- Assist the Senior Payroll Specialist and processing of the casual payroll cycle;
- Guide the Tenders team by providing relevant HR data and documentation;
- Identify and recommend process, workflow, or operational improvements within the HR team;
- Apply a compliance focused mindset across all operations, and;
- Always ensure a safety-first approach.
The ideal candidate will be equipped with the following attributes:
- Tertiary qualification in HR, Business, Psychology or a related field;
- Exposure working as an HR Graduate / Assistant / Administrator / Coordinator, or equivalent;
- Familiarity with HRIS and ATS software platforms (desirable);
- Knowledge of HR functions and best practices;
- Proficiency in Microsoft Office Suite;
- Aptitude to build and maintain relationships with employees and managers;
- Ability to maintain confidentiality and handle sensitive information with discretion;
- Adaptability and readiness to handle multiple, changing priorities in a fast-paced environment;
- Team player with a positive attitude and willingness to learn;
- Exemplary understanding of compliance rules, with a proactive mindset and the ability to act as a role model in upholding and promoting compliance standards, and;
- Excellent attention to detail, communication, interpersonal, problem solving, organisational, and task management skills.
