About The Role
- Standard hours of work: 8:00 AM to 5:00 PM, Monday to Friday;
- Based in Eagle Farm Office with occasional support to regional project sites (as required);
- Reports to the People & Culture Advisor and Executive Manager of People & Culture;
- Works closely with Project Administrators, Payroll, and Project Teams;
- Liaises with external training providers, RTOs, and industry bodies;
- Interacts with employees across all levels of CMC.
Human Resources Administration
- Monitoring and managing the HR inbox daily, triaging and responding to queries, and escalating where appropriate;
- Preparing and issuing employee documentation including letters of offer, employment contracts, variation letters, transfer confirmations, and other employee-related correspondence;
- Maintaining employee records, ensuring accuracy and compliance within Vista;
- Supporting onboarding activities including gathering new starter documentation, coordinating pre-employment checks, and booking inductions;
- Maintaining staff movement registers, probation review tracking, and related compliance logs;
- Providing administrative support during recruitment campaigns, coordinating interviews, posting roles, and liaising with hiring managers;
- Assisting with PDR scheduling, documentation collation, and recording outcomes;
- Generating routine and ad hoc HR reports as required;
- Supporting internal communications by drafting or distributing HR announcements, reminders, and events.
- Acting as the primary administrative support for training activities across CMC, in collaboration with the P&C Advisor;
- Maintaining and updating training records in the training management system (Altora), ensuring all certifications, licences, and competencies are accurately logged;
- Managing the compliance reporting of the TPAS system, including collating, verifying, and submitting training activity and hours across projects;
- Coordinating enrolments and completions of traineeships, tickets, licences, and nationally recognised training in partnership with RTOs and internal stakeholders;
- Assisting in scheduling internal and external training sessions, preparing attendance lists, and managing confirmations;
- Ensuring all training documentation is compliant, accessible, and filed appropriately;
- Supporting training audits and reporting obligations for client and contract requirements.
Our ideal candidate will already have one years’ experience in a similar role within the construction or infrastructure sectors plus the following:
- Certificate III/IV in Business Administration, or similar;
- Familiarity with training compliance frameworks and reporting tools (e.g. TPAS);
- Previous experience using HRIS and Training Management Systems;
- Intermediate to advanced proficiency in Microsoft Office Suite (Word, Excel, Outlook);
- The ability to handle confidential information with discretion and professionalism;
- Exceptional organisation and time management skills;
- High attention to detail and accuracy in document preparation and data entry;
- Be proactive and responsive with the ability to manage multiple tasks simultaneously;
- Strong interpersonal and written communication skills.
