We are seeking a mature and experienced Operations & Administration Team Leader on a 12-month parental leave contract, reporting to the Head of Operation & Administration.

This role will support the Head of Operation & Administration with a variety of administrative tasks including:

  • Assist with supervising and coordinating the Office Services, Float Assistant & Reception teams, ensuring the teams perform effectively in their roles and meet standards regarding office facilities

  • Be the first escalation point for the Office Services Float Assistant & Reception teams

  • Assist with reporting, booking meetings and event coordination

  • Manage office maintenance, facilities, suppliers and contractors, liaising with building management concerning delivery of building services

  • Assist with project work, office protocols and coordinating new starters

  • Assist with the coordination of Workers Compensation claims and WHS incident reporting, and liaising with our external Workers Compensation return to work provider

  • Other WHS assistance such as, organizing ergonomic assessments, coordinating WHS training and quarterly WHS reports

  • Provide a safe and effective day to day working environment for all employees.

  • Coordinate the data collection for Environment, Social & Governance (ESG) reporting requirements.

Our ideal candidate will possess:

  • Ability to work as a member of a team and be proactive in assisting and taking on a variety of tasks

  • Leadership and supervisory skills essential, ideally 5 years’ experience

  • Good computer literacy skills and strong organisational and time management skills

  • Good attention to detail and accuracy

  • Exceptional interpersonal, written and oral communication skills with an ability to communicate with people at all levels in a professional manner

  • Ability to observe confidentiality at all times

  • Demonstrated commitment and a positive attitude toward quality

  • Intermediate to advanced Excel skills

  • Experience in professional services firm highly regarded by not essential.
