ROLE PURPOSE

The primary responsibility of the Team/Project Administrator is to support the project delivery across all teams in the Melbourne office. This role involves not only overseeing administrative activities across all teams, but also actively assisting Team Leads, Project Managers, and project teams by managing project-related documents and information, contributing to the overall efficiency of various project delivery processes within the organisation.

OBJECTIVES

Support, mentor and guide the project team to deliver deadlines and ensure that all projects are delivered to the highest quality; following compliance standards and processes.

DUTIES

  • General Project Team Administration.
  • Preparation of project Proposals/Submissions/Reports and other project documentation.
  • Document Control.
  • Closing out and archiving completed projects.
  • Sub-consultant Appointment Letters/Purchase Orders.
  • CV Updates/Maintenance.
  • Creation of Project Data Sheets.
  • Administration of Project QA requirements throughout the life of the project from realisation to completion/closure.
  • Assisting the Project Manager with various tasks such as meeting scheduling, arranging agendas, attending meetings, taking minutes, time reporting.
  • Liaising with other BG&E corporate support team members nationally.
  • QA Audits and general administrative support as required.

About You

  • High proficiency in Microsoft Office suite, including advanced MS Word and Excel skills
  • Exceptionally high attention to detail
  • Strong time management and prioritising skills
  • Ability to work autonomously within a team environment to ensure deadlines are met
  • Well-developed interpersonal and verbal communication skills
  • Enjoys collaboration with various stakeholders and ability to build rapport quickly
  • A sound understanding of document control procedures
  • Ability and a preparedness to learn and adopt new work practices, systems, software and procedures.
  • Experience with BST Enterprise and various document control software is desirable though not essential
