Administrative Officer

The Position

The Administration Officer for Logistics and Transportation provides administration and organizational coordination and support through undertaking a range of administration duties for the logistics and transportation team. The position works across all Logistics and Transportation teams in terms of general administration and organizational duties and responsibilities

Applicants must be an USA citizen who have a TS/SCI or Australian Citizen who can obtain the appropriate level of security clearance.

Essential Responsibilities:

  • Participate in the weekly team leader and Inwards Goods Advice meeting updating team leaders on all leave, payroll, and general administration issues
  • Develop and maintain building and staff issued key register and ensure all keys are signed for annually
  • Assist and lead Logistics and Transportation work instructions, documents and forms including coordinating the relevant Leaders to review and sign.
  • Gather metrics from all work areas to prepare for reporting streams.
  • Ensure Portal is updated and email distribution list are up to date. Be the Front line of the Logistics office
  • Maintain licenses and training qualification registers
  • Ensure new employee complete the logistics and transportation on boarding process.
  • Coordinate and update leave register and contact register
  • Act as front line of customer service for all customer enquiries to Logistics and Transportation department
  • Answer and direct all calls for the Logistics Customer Service line to appropriate department points of contact.
  • Manage customer enquiries via phone, email or manage engine helpdesk
  • Assigns manage engine ticket to appropriate work area.
  • Direct calls to appropriate POC for the request
  • Forward email to appropriate POC for the request
  • Calendar consolidation of managers calendar and print and place on door daily
  • Booking of meetings as required
  • Ensure compliance with all site environmental health and safety requirements
  • Any other reasonable duties as required

Qualifications

Minimum Essential

  • Microsoft Office Suite proficient

Desirable

  • Knowledge of, and ability to implement, security related policies and procedures.
  • Advanced user in Logistics Management software.
  • Strong knowledge and experience in warehousing and inventory Knowledge and experience in fleet management inventory operations.
  • Ability to develop and implement improved procedures to enhance warehousing operations
  • Undergraduate Degree – Logistics
  • SAP experience (minimum 2 years)

Minimum Position Knowledge, Skills, and Abilities Required:

  • 1 to 4 years – in a similar role performing Administration Management

Work Environment, Physical Demands, and Mental Demands:

  • The position is on feet and constant kneeling and carrying things, the ability to lift items up to 10 kgs may be required.

SECURITY CLEARANCE REQUIREMENT

  • It is a condition of employment that employees obtain and retain the appropriate level of security clearance and medical clearance applicable to each role. The employee will be required to obtain and maintain up to a Negative Vetting Level 1 (NV1) Department of Defence Security Clearance (Australian) or Secret (U.S.) clearance.

Statement Of Work Requirements

All personnel assigned to work shall be:

  • At least 18 years of age.
  • Able to fluently read, write and speak English

EHS REQUIREMENT

  • Red-Carding a Job - Employee right and responsibility to “STOP WORK” if a job is unsafe or possess a danger to the environment
