Job Details:
Job Summary: Responsible for assisting Program Managers in execution of multiple program tasks. Supports the program management staff in the preparation of deliverables, internal reports, briefings, and other requirements associated with the project being supported. This position typically works under general supervision and direction.
Essential Job Duties and Responsibilities:
- Supports the administration of programs in accordance with the contract, policies, procedures and department instructions.
- As required, establishes and maintains folders and repositories ensuring document control and tracking
- Supports the program managers in ensuring contracts are met in the most efficient and profitable manner
- Supports program execution to meet technical performance within cost and schedule
- Supports and monitors all elements of the assigned program activities from inception to completion which may include proposal development, product design, procurement, subcontracting, testing, delivery, installation and acceptance of the products and/or services
- Supports the program managers in performing the following tasks: monthly status reports; liaises with other Company support groups; Program Management Review (PMR) slides; provides meeting logistic support, including the development of agendas, phone contacts, meeting minutes and action item tracking;
- Supports early or on-time deliveries of all required project/program documentation (CDRLs, etc.).
- Monitors programs’ Action Items (AI) lists and supports timely completion of open AIs
- Performs financial management tasks, which may include invoice generation, preparation of information for the cost estimation team, SAP administration
- Reports on risk management to help identify risk reduction on assigned programs
- Escalates any issues toprogram management with sufficient lead for timely resolution
- Coordinates and/or assists with proposal development, statements of work, specification development and major subcontract management
General Duties and Responsibilities:

Minimum Job Requirements:
Qualifications
Desirable:
- Certificate / Diploma in Project Management or other related discipline, or equivalent experience
Skills/Experience/Knowledge
Essential:
- Strong MS Word document formatting skills
- 4 – 6 years’ experience performing project administrative / coordination duties
- Experience working with SAP
- Skilled user of SharePoint, MS Project and MS Office, MS Suite (Word, Excel, PowerPoint, etc.)
Desirable:
- Strong knowledge of project management processes and tools
