Are you highly organised, love a good checklist, and thrive when everything’s in the right place? We’re looking for a Legal Administration Assistant to support our legal team behind the scenes – keeping files in order, documents moving, and helping us deliver a seamless client experience.

At businessDEPOT Legal, you’ll be part of a team that’s friendly, collaborative, and values-driven. Your role will focus on providing administrative support to Directors, lawyers, paralegals, and clients to help ensure smooth operations. You’ll be responsible for maintaining file integrity, managing documents and databases, coordinating correspondence, and delivering a professional and friendly client experience.

what you’ll be doing

  • Providing friendly and professional front-line support to clients via phone, email, and in person.
  • Supporting our legal team with everyday admin – scanning, filing, safe custody, document binding, and assisting with file opening, tidy-up, and closure [including write-offs].
  • Assisting with internal and external marketing events [e.g. with referrers or clients], and helping organise huddles, team coffees, and client lunches
  • Assisting Directors and lawyers with diary management, travel coordination, and meeting preparation.
  • Ordering searches, managing incoming/outgoing mail, and jumping in to help across the legal team as needed.
  • Preparing fee proposals and assisting with basic lodgements – including Titles, QRO, and ASIC-related tasks.
  • Helping reconcile accounts using tools like Xero – including general account management, credit cards, and ASIC payments.
  • Maintaining and organising the debtors list and sharing updates with external providers.
  • Supporting electronic signing processes via DocuSign and assisting with onboarding tasks like ID collection and document prep.
  • Keeping our digital and physical client files accurate, tidy, and accessible across systems like Actionstep and our internal platforms.
  • Liaising with other teams across the businessDEPOT crew – including marketing, accounts, IT, HR, and operations – to keep things running smoothly.

you’ll fit right in if you…

  • Have admin experience [bonus points for legal or professional services exposure].
  • Are naturally organised and love getting things done right the first time.
  • Have a good eye for detail and can juggle competing priorities with ease.
  • Are comfortable using Microsoft Office and happy to learn new systems.
  • Have a friendly phone manner and strong communication skills.
  • Are curious about legal processes and open to learning more.
  • Have experience with lodgements or using ASIC/PEXA platforms [a bonus, not a must!].
