Support the Aviation Program Management team on the delivery of Capital Projects

We currently have an exciting new opportunity for a motivated and organised Aviation Capital Delivery Program Administrator to join our Aviation team.

Reporting to the Program Administration Supervisor, the role is to support the Program Management team and delivery of capital projects across all Aviation Capital Works. The role is key to ensuring the administration of capital projects are supported meeting the requirements of our internal policies and procedures, as well as coordinated with our Program Directors and Program Managers. The role will require a suitably experienced and qualified individual who has good organisational skills. The Program Administrator will work collaboratively across both internal and external capital project teams providing support and assistance through the execution of project administration tasks.

Key responsibilities:

The role's duties and accountabilities include supporting key program/project administration tasks, but are not limited to:

  • Being a key point of contact for capital project and program administration
  • Support the program/ project team in key tasks including
  • Managing Purchase order and Invoice approval process on a monthly basis including ensuring PO’s are in place to support invoice payment and supporting PO approval and PO variation approval
  • Manage execution process for project contract documentation
  • Support project teams with the collation and submission of project gate documentation
  • Support the Program Directors and Program Managers with contract administration including the execution process for project contract documentation
  • Coordinate project/ program and aviation project team meetings and activities; and,
  • Assist in the coordination and management of the Airside Access Escort and Security Guard booking process

The successful candidate will have:

  • Strong administration skills including supporting preparation of reports and presentations
  • Ability to implement and follow key project process including use of internal supporting IT systems
  • Strong prioritization and time management skills
  • Ability to manage, prioritise and coordinate multiple tasks across multiple projects concurrently
  • Work successfully with both internal and external stakeholders
  • High motivation and proven experience to support project outcomes
  • Well-developed communication skills, both written and verbal and able to communicate at all levels of organisations.
