THE TEAM

Our Administration and Facilities team ensures the office runs smoothly and remains a welcoming, well-organised space. The Facility team ensures all visitors and team members are welcomed to the office every day and handle everything from daily operations to events and onboarding. In this role, you’ll work closely with both the Ticketmaster and Live Nation teams, so professionalism, strong organisation, excellent people skills, and a collaborative mindset are essential.

THE JOB

We are seeking a proactive Office Administrator to work alongside our Receptionist and Office Manager and Executive Assistant to ensure the smooth day-to-day running of the office, support staff across all departments, and help create a welcoming, efficient, and well-organised workplace environment.

This role involves a mix of front-of-house duties, administrative support, and facilities coordination, making it ideal for someone who thrives in a dynamic environment and enjoys being the go-to person for getting things done. You’ll play a key part in maintaining a positive office culture, assisting with events, managing supplies, and ensuring our space reflects the high standards of both the Ticketmaster and Live Nation brands.

WHAT YOU WILL BE DOING

  • Welcome and sign in all visitors and contractors to ensure a professional and secure front-of-house experience.

  • Maintain a clean, organised, and welcoming reception area to reflect Ticketmaster’s high standards.

  • Manage incoming and outgoing mail and courier deliveries to ensure timely and accurate distribution.

  • Coordinate meeting room bookings and setups to support smooth and efficient meetings and events.

  • Monitor and replenish office and kitchen supplies to maintain a well-stocked and functional workplace.

  • Liaise with building management and contractors to resolve facilities issues and maintain a safe, operational office.

  • Maintain and update building access records and security passes to ensure accurate access control and compliance.

  • Support the planning and delivery of internal events and functions to enhance team culture and engagement.

  • Assist executive assistant with travel bookings to support leadership efficiency.

  • Respond to general enquiries and escalate issues as needed to ensure timely resolution and service continuity.

  • Monitor shared inboxes and respond or redirect messages to maintain clear and consistent communication.

  • Provide general administrative support across departments to assist with day-to-day operations and projects.

  • Participate in workplace health and safety initiatives including auditing of the office environment for compliance checks.

  • Collaborate regularly with the Office Manager, Executive Assistant, and wider Ticketmaster team to ensure cohesive office operations.

  • Adhere to all quality management, safety, and environmental policies to support a compliant and responsible workplace.

  • Assist the Executive Assistant with event setup and logistics and preparation to support successful team and client functions.

  • Reconcile corporate credit card transactions to ensure accurate financial records and timely expense reporting.

  • Archive physical and digital documents to maintain organised and accessible records in line with company policies.

REQUIRED SKILLS & EXPERIENCE

  • Proficient use of the Microsoft Office Suite.

  • Excellent verbal and written communication skills.

  • Highly organised, with the ability to be adaptable to handle changing priorities and unexpected demands.

  • Is proactive and takes initiative to action things without being prompted, anticipating the needs of others and acting upon them in a timely manner.

  • Ability to work autonomously, as well as part of a team.

  • Meticulous attention to detail, with strong problem-solving skills.

  • IT/tech savvy

  • Handling sensitive information with discretion and confidentially

  • Highly presentable.
