Your role is to provide exceptional administrative and personal assistant support to the Chief Operating Officer, Chief Financial Officer and the General Manager, Shopping Centres & Office Buildings to ensure the smooth running of operations. This is a full time contract of up to 6 months with the possibility of extension.

Your duties will include, but are not limited to the following;

  • Extensive proactive diary management and scheduling.
  • Inbox management - draft replies when required.
  • Meeting preparation - ensure the COO, CFO & GM, SC & OB have all documentation required for meetings.
  • Prepare agendas and take minutes for internal meetings in prescribed format and distribute to attendees as required.
  • Follow up meeting action items as required and directed.
  • Co-ordinate the timely execution of lease and other documentation.
  • Oversee all travel, accommodation bookings and associated logistics.
  • Oversee RSVPs of incoming invitations.
  • Manage invitations to partners for Hawaiian events at the invitation of the COO, CFO and GM SC & OB.
  • Arrange catering requirements - meetings etc.
  • Greet guests on arrival, prepare meeting room and offer refreshments.
  • Electronic filing on SharePoint.
  • Any personal ad hoc requests as required.

Qualification Requirements

  • 2-5 years’ EA / PA / TA previous experience.
  • Driver’s License essential.
  • Strong Microsoft Office experience and ability to quickly learn new systems with training.
  • Demonstrate exceptional customer service including servicing client requirements, via telephone and in person, with maturity and empathy.
  • Professional appearance and telephone manner.
