About The Role
We are currently seeking an experienced and enthusiastic Administration Officer to join our welcoming administration team at our Rockhampton therapy centre. Working closely with our therapists, management team, and external stakeholders, your role will involve welcoming and onboarding clients, ensuring efficient administration processes and assisting with coordinating therapy services. This is a fantastic opportunity to play a central role in a well-established, respected practice where you’ll be helping make a real difference for our clients and their loved ones.
This is a full-time position, Monday to Friday.

As the first point of contact for our practice, you bring warmth, professionalism, and efficiency to every interaction providing excellent customer service. From greeting clients with a smile to managing busy schedules and supporting our clinical team, you help create a seamless and positive experience. You’ll be a confident and capable front-desk professional who thrives in a fast-paced, client-focused environment and enjoys being part of a multidisciplinary, purpose-driven team.

You will also bring
- A welcoming and friendly manner with people of all ages and abilities
- Proven experience in a health, NDIS, or allied health admin setting
- Strong front-desk skills, including phones, bookings, invoicing, and client communication
- Proficiency in Microsoft Office and the ability to learn new systems quickly
- High attention to detail, strong organisational skills, and the ability to multitask in a fast-paced environment
- A calm, proactive, solution-focused approach when challenges arise
- A genuine passion for helping others and being part of a collaborative team
- Be the face of our practice – welcoming clients and families with empathy and professionalism
- Handle phone, email, and in-person enquiries efficiently and warmly
- Process NDIS, Medicare, EFTPOS and WorkCover payments and claims accurately
- Support our clinicians with appointment bookings and schedule management
- Maintain accurate and confidential client documentation
- Keep our clinic space tidy, stocked, and client-ready
- Contribute to a positive, supportive and high-performing team culture
- Proven reliability and ability to work consistently during business hours.
- Proficiency in touch typing and strong Microsoft Office skills.
- Excellent phone communication skills and a customer-centric approach.
- Positive "can-do" attitude with a proactive mindset.
- Strong problem-solving skills to address and resolve issues efficiently.
- NDIS knowledge and/or experience preferred but not required.
