What's on offer?
We are seeking an experienced Executive Assistant to join our Eastern Region Utilities team.
Reporting to General Manager - Eastern Region Utilities. You will provide secretarial and administrative support exclusively to Senior Management whilst maintaining a high level of confidentiality and professional discretion.
This is a part-time role, ideally working 4 to 5 days per week for 20 to 30 hours, with flexibility and open discussion around scheduling.
In this role you'll be responsible for:
- Managing the General Manager's calendar to mitigate schedule clashes
- Financial reconciling of Senior Manager's business expenses and processing expense approvals
- Taking notes and actions of meetings
- Organising interstate/overseas travel arrangements for Eastern Region Utilities staff
- Coordinating team functions and events
- Organising business appointments and overseeing client corporate engagement activities
- Collating regional end-of-month reporting
- Producing correspondence, memoranda, presentations and reports both of a general and confidential nature on behalf of the regional Senior Leadership Team
- Fielding ad-hoc enquiries and requests and escalating urgent matters to Senior Management's attention
- Manage internal communications for Eastern Region Utilities to ensure consistent, clear, and engaging messaging across the business
- Provide administrative support to internal stakeholders as required
How you'll connect to the role:
- Minimum 3 years' experience in similar professional role
- Very strong attention to detail
- Advanced Microsoft Office skills
- Exceptional written and verbal communication skills
- Exceptional multi-tasking and organisational skills
- Ability to show initiative, be proactive and a self-starter
- Ability to maintain strict confidentiality about sensitive information
