Your Team
The Administrative Assistant will work with the Super & Investments (S&I) Executive Assistant and the existing S&I Admin team to assist with supporting the diary management, account management, power point pitches and other duties as required.
Your Responsibilities
- Provide day to day diary and meeting support including scheduling, rsvp’ing, and room bookings while ensuring conflicts are managed.
- Management of agenda, logistics and minutes of managers’ team meeting.
- Support the preparation of high-quality presentation materials and briefing packs, ensuring accuracy, consistency, and timely delivery.
- Manage the processing of invoices and expenses for the teams ensuring expense procedures are adhered to.
- Assistance with expense reports for Executive Director’s and high-volume team members as requested by Head of/General Manager.
- Setting up and onboarding new suppliers including supplier governance and adherence to policy.
- Timely handling of the distribution of the team’s mail
- Managing office administration for the team including the management of stationery, travel, kitchen supplies etc. Helping to facilitate and organise team offsites and being a primary point of contact for external events
Your Capability and Experience
- An ability to operate proactively across all core areas of responsibility
- A great attitude is a must
- Excellent inter-personal communication skills with individuals at all levels of seniority - both written and verbal
- High degree of confidentiality
- Highly organized & proactive
- Having good interpersonal skills with a willingness to help
- Proven time management skills and being able to work under pressure
- Strong personal presentation skills
- Highly self-motivated with the ability to operate without supervision
- Excellent computer literacy (including Microsoft Windows, PowerPoint, Outlook, OneNote)
- Good attention to detail and takes pride in the quality of their work
- Ability to operate in a team and adapt to the culture in the team environment Proven and strong ability to meet deadlines and manage multiple tasks at any given time
