We have an exciting opportunity for a Business Support Services – Operations Coordinator and Office Administrator to join our Sydney office.
About the role
The role provides business support services functions and administrative support for the Sydney office. You will be part of a small friendly team, in an important role as the key contact for all queries with internal colleagues and visitors to the office.
Key responsibilities:
- Greet and welcome all clients, employees and visitors attending the office providing a smooth and positive experience.
- Provide administrative support for the various Teams within the Sydney office. Some examples are coordinating meetings, assisting in the creation of presentation materials, preparing for events and seminars, organising staff functions (including catering) and monitoring Office activities.
- Oversee the general office environment including office maintenance, supplies, kitchen and liaising with building management regarding services and tenancy issues.
- Ensure office security, managing security passes and records.
- Effectively manage meeting rooms, ensuring they are equipped with necessary IT and audio-visual resources.
- Oversee ergonomic requirements for employees in the office and working remotely, maintaining WHS registers.
About you
- You bring experience in an office coordination role.
- Previous experience working in a professional services company in an assistant capacity would be an advantage, to also provide miscellaneous assistant duties as required including back up support.
- Bring a proactive and highly organised approach to your work.
- Demonstrate strong problem solving skills with a can-do attitude.
- Excellent customer service skills with internal colleagues, external clients and visitors.
- Excellent verbal and written communication skills.
- Are a team player who enjoys building relationships and can work independently.
- Experience with all Microsoft Office products, Word, Excel and Powerpoint.
- Have an interest in process improvements that could benefit the office environment.
- Flexible and adaptable to changing priorities with a calm and practical approach.
- Take pride in setting a high standard and maintaining confidentiality.
