Key Responsibilities

  • Provide day-to-day administration support to the SAID department, ensuring efficient management of the office, schedules, and workload
  • Prepare and format a range of high-level reports, documents, and presentations to support the Head of SAID
  • Attend and minute SAID meetings, track action items and follow up on outcomes
  • Organise domestic and international travel arrangements for the SAID team, including bookings, itineraries, and visa processing
  • Plan and coordinate internal and external events and meetings: managing invitations, attendees, agendas, minutes, and resources
  • Maintain sound document and record management systems to ensure accessibility, accuracy, and confidentiality
  • Process team expenses and manage invoicing in line with organisational financial procedures

About You

  • Relevant Business qualification such as Certificate IV or Diploma in Business Administration
  • Significant demonstrated equivalent of relevant experience, knowledge and skills
  • Ability to work collaboratively with a broad range of stakeholders
  • High level of organisational skills
  • Knowledge of Microsoft applications, including Word, Excel and PowerPoint
  • An understanding of governance models in the NGO/charity sector (desirable)
  • An understanding of international Community development (desirable)
  • A knowledge of the ACFID Code of Conduct, DFAT accreditation standards (desirable)
