We have an exciting opportunity for an experienced and motivated Roster Coordinator – Centralised Rostering to join our team based at our Air Force Memorial Estate in Bull Creek. This role is essential to ensuring the effective and efficient allocation of staff across our five Residential Aged Care Facilities from a centralised scheduling hub. Responsible for building and maintaining a 24/7-week site roster, the Roster Coordinator – Centralised Rostering plays a vital role in supporting operational needs, workforce planning and ensuring the continuity of care across the organisation.

Operational Hours are between 06:00AM – 09:00PM, Monday to Friday with a weekend + Public Holiday on-call rotation.

Key Responsibilities

  • Produce an efficient fortnightly roster in advance, using RAAFA’s rostering tool Optima, ensuring the rosters meet relevant Awards, Enterprise Agreements and Legislative requirements.
  • Be the central point of contact for staff, managing leave requests and ensuring fair distribution of shifts.
  • Maintain accurate records and assist with audits and reporting as required.
  • Identify roster gaps and liaise with Residential Aged Care Managers and Recruitment for recruitment needs.
  • Develop and maintain accurate rosters for staff, ensuring alignment with quarterly Care Minute Requirements and the master roster.
  • Ensure the rosters are aligned with budgetary requirements with a focus on reducing agency utilisation
  • Coordinate staff training maintenance in consultation with People & Culture team, ensuring all staff are up to date and compliant.
  • Act as a key point of contact for new employees to provide an effective and efficient orientation to Rostering and RAAFA’s systems and processes.
  • Verify accuracy of agency invoices.

What You Bring

  • A strong understanding of contemporary rostering practices.
  • An ability to build and maintain a roster, allocating staff with appropriate skills and knowledge, and in line with budget and EBA awards.
  • Experience coordinating a team of shift workers in the aged care industry or similar environment as well as developing and fostering a positive team culture.
  • Demonstrated computer literacy in word processing, excel spread sheets, calendar management and experience using the rostering tool Optima (or similar).
  • Demonstrated administration experience with a high level of attention to detail.
  • Demonstrated excellent written and verbal communication skills.
  • Highly organised with the ability to multitask.
  • Ability to work independently and problem solve issues related to any part of the role.
  • Demonstrated confidential approach to managing employees’ information.
  • Experience in award and agreement interpretation and understanding how to apply these when rostering in 24/7 environments.
  • A passion for working in Aged Care and genuine care and respect for older people.
