The Security and Facilities Coordinator is responsible for the coordination and support of Defence security requirements and general administrative operations within the Australian Offices. This includes undertaking routine and ad-hoc security, facilities and office maintenance activities and ensuring these are maintained at a high standard for our personnel and visitors.

Security Coordination:

  • Ensure access and identification procedures are executed to ensure all personnel are provided with and maintain valid security passes. This includes assisting with Adelaide facility access arrangements including the issue and control of staff access passes.
  • Coordinate the preparation of visitor and contractor local site passes.
  • Assist in the conduct of security audits and investigations as requested.
  • Coordinate and assist with the maintenance of security containers and classified holdings.
  • Assist with personnel security clearance requirements.
  • Coordinate, support, and deliver induction and ad-hoc security related training and education.
  • Provide local administrative support in relation to security alarm and access control systems.
  • Assisting the Chief Security Officer to promote security compliance and a positive organisational security culture throughout UM Australia.
  • Providing support with ad-hoc Security Officer tasks as required, including but not limited to overseas travel briefings, security register maintenance and key control.

Facilities Coordination:

  • Coordinate the conduct of routine Facility Maintenance Plan activities, including RCD testing, Exit Sign and Emergency Light testing, water filter replacements, air-conditioning, and garden maintenance, etc.) and arrange the completion of any emergent repair tasks.
  • Maintain facilities maintenance records electronically, both routine and ad hoc and any associated certificates.
  • Greet and welcome contractors to undertake on-site maintenance work ensuring they must hand or have provided the relevant WHS paperwork and licences prior to the maintenance activity.
  • Escort all contractors whilst on site and conduct any required safety inductions.
  • Review facilities maintenance expenditure against budget, analyse and report upon material budget variances, prepare Capital expenditure requests as required.

Office Coordination:

  • Greet and welcome visitors and contractors and coordinating escort arrangements with appropriate staff.
  • Answer, forward, and screen phone calls.
  • Ensure staff amenities are maintained (including drink and other consumable provisions, monitoring of waste management and general cleaning).
  • Manage the inventory of office supplies, ordering supplies and ensuring costs are appropriately managed.
  • Open and distribute post and record all post requiring a signature; manage the franking of post as required and administer special and recorded delivery requirements.
  • Update internal telephone directory; take photographs of new employees and upload them to the Administration HR folder and produce associated staff identification passes.
  • Research and prepare reports, briefing notes, memoranda, correspondence, and other routine documents.
  • Assist with miscellaneous projects or administrative tasks for the General Manager Australia and other Senior managers as required.
  • Prepare meeting rooms, arrange lunches, and provide beverages in support of customer meetings.
  • Prepare documents and files for archiving, package, record and store the material in the Archive room.
  • Provide other daily support to staff as required.

Experience:

  • Demonstrated experience as an Office Coordinator, Facilities Coordinator, Security Officer or in a similar or related position.
  • Extensive experience with administrative procedures.
  • Excellent computer skills; proficient or advanced skill in Microsoft Office Suite (Word, Excel, PowerPoint, and Outlook) and experience with data management.
  • Word processing, managing files and records, designing forms, and other office requirements.
