An exciting opportunity has arisen for an experienced Executive Assistant to join a high-performing team in Melbourne on a permanent full-time basis.You will also play a vital part in leading and nurturing a team of three Customer Team Assistants, supporting their professional growth. What You'll Do

As an Executive Assistant to the Customer Executive based in Melbourne, you will be at the heart of organisational operations. Your day-to-day activities will involve expertly managing complex diaries to ensure priorities are met without conflict or oversight.

  • Provide accurate and proactive diary management for your Executive
  • Represent the office of the Executive with internal and external stakeholders, building positive relationships with senior staff, media representatives, government agencies, and other organisations
  • Prepare documentation for meetings and appointments
  • Arrange local, national, and international travel for the Executive
  • Support preparation for Executive Leadership Team and Board meetings by coordinating documentation
  • Collect and process expenses including reconciliation of invoices and credit card statements as needed
  • Participate actively in the Community of Practice with other assistants, sharing experience to provide leave cover and mutual support across teams.
  • Organise events such as extended leadership meetings, functions, townhalls, workshops, arranging invitations, catering, logistics to ensure successful execution.
  • Oversee three Team Assistants supporting their professional growth

What You Bring

  • Recent experience as an Executive Assistant at a high-level within large or complex organisations
  • Exceptional verbal and written communication skills
  • Proven ability to produce high-quality correspondence, management reports and presentations
  • Strong interpersonal skills with a talent for building positive relationships
  • A supportive attitude towards diversity initiatives; willingness to participate in ad-hoc activities related to inclusion efforts.
