The role

Based in Sydney, the Project Coordinator, Innovation Centre will play a pivotal role in enabling high-impact research by implementing and managing professional-grade project delivery systems across eight state-of-the-art research facilities. Your work will directly support the Institute's ability to attract and retain commercial partnerships by ensuring seamless, compliant, and client-focused project execution.

Reporting to the Head of Research Facilities & Innovation Centre, you will collaborate closely with Facility Managers, Innovation Centre staff, clients, and the Institute's Operations Teams. Your focus will be on delivering industry-standard service, day-to-day management of multiple projects, optimising and maintaining operational efficiency, and ensuring that all projects meet the highest expectations for coordination, reporting, and compliance.

This is a dynamic and influential role that sits at the intersection of research, operations, and client engagement—ideal for someone who thrives in a fast-paced, collaborative environment and is passionate about enabling scientific innovation through exceptional project management. This is a part time, 2 year contract.


What we will trust you with

In this role, you will be at the heart of our project operations, ensuring seamless coordination, clear communication, and operational excellence across our Innovation Centre and its relations with users and clients. We will trust you to:

  • Drive Project Pipeline Management
  • Implement and standardise project management methodologies (e.g. PRINCE2, Agile) to streamline workflows across facilities. You will coordinate project schedules, maintain centralised tracking systems, monitor milestones, and proactively manage risks and delays.
  • Lead Client Communication and Engagement
  • Act as the key liaison between clients and technical teams, ensuring professional, timely, and effective communication. You will manage client relationships, facilitate meetings, maintain status updates, and support clients through every stage of their project journey.
  • Champion Operational Excellence
  • Develop and implement standardised processes to enhance efficiency, compliance, and collaboration across facilities. You will coordinate resource usage, optimise workflows, maintain documentation, align with Institute's policies and support the integration of complex, multi-facility projects.
  • Support Strategic and Financial Planning
  • Assist in monitoring project budgets, preparing funding proposals, and ensuring resource allocation aligns with project goals and institutional priorities.


Does this sound like you?

  • Bachelor's degree in research or technology field – ideally biomedical
  • Able to juggle multiple priorities and consistently meet deadlines
  • Experienced coordinating projects and engaging with technical and non-technical clients, users and personnel
  • Proficient with project management tools and methodologies such as PRINCE2/Agile or similar
  • Clear and effective written and verbal communication skills
  • Highly organised and meticulous with documentation
  • Experience in a research or technical environment
  • A good problem solver, with the ability to be adaptable in a dynamic environment
  • Able to work intrastate, interstate and out of hours when required
