About The Role

Our Sydney office has an exciting opportunity available for an organised and forward-thinking legal assistant to join our cyber incident response team.

We need a right-hand person to the Partner and a number of our cyber lawyers. This opportunity will involve having a proactive, solution focused attitude and taking ownership and initiative to keep administrative operations on track.

The nature and size of the team will mean that you will be heavily involved in all aspects of the operational management of matters allowing you to make a significant contribution to the team and your own personal development.

Key Responsibilities

Client, practice and matter management

  • Onboarding new clients including opening matters, conflict checks, creating engagement letters and drafting emails.
  • Assisting with client queries in a professional manner, directing them as appropriate and drafting email responses.
  • Managing the practice management technology platform to ensure accurate and timely file hygiene, maintaining data accuracy, key tasks completed, and matters are offboarded.
  • Supporting the senior lawyers with file reviews and other ad hoc matter and broader portfolio management tasks.
  • Proactively assisting the team with the financials of their practices including tracking that files are within budget, rates issues are dealt with, and debtors are attended to as required.
  • Managing the end-to-end billing process including ensuring all billing data / budgets are accurately updated in advance, preparing billing guides, reviewing bills, amending narratives, preparing covering emails and final bills to be sent to clients ensuring that client SLA's and specific billing requirements are followed.
  • Providing assistance with the preparation of client reports.

Team organisational support

  • Assisting with diary management including any logistical meeting arrangements and travel plans.
  • Managing lawyer's inboxes as required and proactively helping them to keep on top of emails and requests.
  • Assisting with the preparation of emails, correspondence, documents and presentations.
  • Assist the fee earners with timesheet management, ensuring any leave days are properly recorded in the firm's time management system, In Tapp Time.
  • Ad hoc administrative support including but not limited to maintaining electronic files and preparing expenses.
  • Assisting the broader operational support team as required.

Business Development

  • Maintaining and updating client contact lists and entering business development activities in the firm's client contact database, InterAction.
  • Assisting with the coordination and planning of internal and external events and presentations, as well as arranging business development trip schedules.
  • Assisting the lawyers to prepare for their presentations and events as required including tracking key tasks to ensure they're delivered in a timely manner.

About You

You are enthusiastic and proactive and enjoy working as part of dynamic and collaborative team. You have a combination of the following:

  • 2-3 years' experience as a legal secretary including strong billing experience.
  • Interest in or demonstrated practical cyber and privacy related experience would be beneficial but is not essential.
  • Experience working in a high-volume practice.
  • Strong time management skills and ability to manage competing priorities effectively.
  • Demonstrated ability to work proactively, with a solution-focused mind set to ensure the maximum support is provided to lawyers.
  • Attention to detail and the ability to pick up new systems and technology.
  • A collaborative approach as well as the ability to work independently.
  • A professional and polished presentation with clear and concise communication.
