Executive Assistant – Temporary Parental Leave Coverage (14 Months)

Mackay Regional Council is seeking a highly capable and proactive Executive Assistant to support the Director Organisational Capability & Risk during a 14-month parental leave period. This role is central to the effective functioning of the Director’s office, which oversees a diverse portfolio including Ethical Standards, Audit and Risk, Business Improvement and Change Management as well as Workplace Health and Safety (WHS) and Emergency Management.


You will provide high-level executive and secretarial support, ensuring seamless coordination across these critical functions.

Key Responsibilities

  • Providing executive-level administrative support with a high degree of judgement, initiative, confidentiality, and sensitivity.
  • Preparing agendas, recording, and distributing minutes for Council, board, and management team meetings.
  • Conducting research and preparing documentation for confidential matters.
  • Coordinating travel arrangements for the Organisational Capability & Risk team in line with Council policies.
  • Managing procurement of catering and goods using Council’s Finance One system, including reconciliation of purchasing card statements.
  • Monitoring and actioning tasks in ECM for the Director, ensuring timely completion and compliance with Council’s document storage guidelines.
  • Coordinating departmental events such as awards ceremonies, including logistics and procurement.
  • Providing guidance and training to administration staff on procedures and functions as required.

Essential Criteria:

  • Exceptional organisational skills with strong attention to detail.
  • Excellent communication and interpersonal abilities.
  • Proven ability to adapt, problem-solve and multitask in a professional environment.
  • QLD C Class Drivers Licence
  • Qualifications (Certificate III or above) in Business, Business Administration or related field.
