As a Bid Coordinator, you will play a key role in preparing, coordinating, and submitting high-quality bid and tender documents that reflect WSP’s expertise and value proposition, with a particular focus on fuel systems, hazardous area electrical services, and general building projects. Working closely with project managers, engineers, and external stakeholders, you’ll ensure submissions are compliant, technically accurate, and professionally presented.

Key Responsibilities
- Technical and Bid Coordination Support
- Interpret technical drawings, specifications, and reports to ensure alignment with bid requirements.
- Support the preparation of design markups, clarifications, and value-adds for inclusion in bids.
- Assist with technical input on fuel system installations, hazardous area electrical projects, and general building solutions.
- Work with operations to confirm project scope and validate variation details for tender submissions.
- Coordinate the preparation of high-quality, compliant bid and tender documents.
- Develop and maintain template documentation tailored to each service stream.
- Gather and consolidate information from internal teams and external stakeholders for bid submissions.
- Ensure submissions meet industry standards, bid requirements, and client expectations.
- Respond to client clarifications and manage requests for additional information.
- Support in reviewing contract terms prior to award and provide recommendations to management.
- Facilitate handover of successful bids to the operations team.
- Documentation and HSSE Compliance
- Assist in preparing and reviewing Inspection and Test Plans (ITPs) and related technical documents.
- Support the development of HSSE documentation, including Project Management Plans (PMPs) and Workplace Risk Assessments and Controls (WRACs), ensuring alignment with compliance standards.
- Maintain consistency and quality across bid and supporting documentation.
- Reporting and Performance Tracking
- Contribute to developing capability statements and presentations for bid submissions.
- Maintain and update tender tracking systems and databases.
- Participate in internal meetings to review bid performance, market trends, and competitor positioning.
- Minimum 1 year of experience in bid coordination, ideally within the fuel and electrical industry.
- Strong technical understanding of fuel systems, hazardous area electrical services, and general building knowledge.
- Excellent written and verbal communication skills.
- Strong attention to detail and organisational skills.
- Proficiency in Microsoft Office (Word, Excel, PowerPoint).
- Exposure to engineering design tools (e.g. AutoCAD, Revit).
- Previous experience in bid or tender preparation in construction or fuel sectors.
- Knowledge of industry compliance and HSSE standards.
- Familiarity with risk assessment and site inspection methodologies.
