The Opportunity
We have an exciting opportunity for a self-motivated administrator to join our Planning team and become an integral part of our close-knit, high performing and collaborative team.
You will have the right combination of talent, energy, and a commitment to excellence, to provide high quality support to the Planning team. You will have the ability to deliver outstanding administrative support, achieved through exceptional personal organisation, attention to detail, and time management. You will also play a significant role in the support of Urbis' practice management system, BST.

The Opportunity

You will also play a significant role in the support of Urbis' practice management system, BST.
You Will
- Assist the Planning Team with project setup in the Urbis Practice Management System (BST), project file maintenance, monthly invoicing, invoice processing and contract administration.
- Monitor and action team requests through a central inbox, working collaboratively with other administrators in the team.
- Provide administrative support to the Planning team including document formatting and compilation, word processing, meeting preparation, travel arrangements and other ad-hoc tasks as required.
- Support coordination of team events, activities, meetings and training.
- Provide support to the Planning Directors, including managing calendars, meetings, events, travel requirements and other arrangements as required.
- Demonstrate expert time management skills with an ability to consistently manage competing tasks, timeframes, and priorities efficiently.
- Coordination of tender responses and document production, in a fast and accurate manner.
- Manage expense claims and reimbursements, including reconciling monthly corporate credit card expenses.
- Preparation of PowerPoint presentations.
- Provide a high level of technical support on all Microsoft Office Suite software, Urbis Practice Management System (BST) and expense management systems.
- Complete other duties as directed.
- Previous experience in a similar role preferred, but not required
- Strong organisational skills, time management, and a proactive attitude.
- Knowledge and skills in Microsoft Office suite of products (Teams, Outlook, Word, PowerPoint and Excel);
- High proficiency in both spelling and grammar
- Proactive with excellent attention to detail and lateral thinking is a must in this key position for the team.
- Exceptional time management and organisational skills
- Able to work in a decisive manner and handle competing demands and projects with a calm and measured approach.
