Primary objective
Provide high level administration support and advice to the management team and staff in the business unit to ensure
effective operational management and the delivery of business objectives and outcomes.
Context Statement
The Department of the Chief Minister and Cabinet’s purpose is to deliver coordinated policy and priority reform, regional
leadership, and high-quality support to Executive Government. The position reports to the Regional Executive Director, Top
End.
Key duties and responsibilities
1. Coordinate and deliver business support, advice and services for the business unit ensuring compliance with the agency’s
corporate policies, processes and systems.
2. Prepare high level briefings on activities of the Top End region, Territory Regional Coordination Division.
3. Support business unit staff in the delivery of activities and outcomes, including corporate, administrative, procurement,
human resource, financial management, training and record management matters.
4. Undertake special projects as required to build regional capabilities and complete delegated tasks, including high quality
secretariat support for a range of governance committees and working parties including establishing reporting protocols.
5. Coordinate, manage and prepare reports for annual reporting, divisional business plans, Ministerial correspondence,
estimates briefs, Legislative Assembly briefs, procurement documentation, and other ad hoc briefs/reports as required.
6. Provide guidance and advice to senior staff on divisional financial matters including budget preparation.
Selection criteria
Essential
1. Sound knowledge of budget and financial management processes and reporting frameworks.
2. Knowledge and understanding of ministerial/secretariat processes and procedures, human resource services,
procurement, governance and corporate administrative processes.
3. Demonstrated high level written and oral communication skills in liaising with various internal and external stakeholders.
4. Proven skills and experience in preparing high level correspondence, briefings and submissions with a strong focus on
attention to detail.
5. Demonstrated ability to work independently or as part of a team, with high level organisational skills, a positive attitude
and the ability to be flexible and adapt to changing priorities.
6. Proficiency in relevant software applications, including Word, Excel and PowerPoint.
Desirable
1. Extensive experience and understanding of regional issues in the Top End.
