The role and responsibilities
We are seeking a transactionally focused administrator who is looking for the next steps in their career to join our Banking + Projects group. The successful candidate will join the team’s transaction compliance and knowledge specialists, assisting on a range of day-to-day tasks and responsibilities including:
- Assist in preparing the firm’s response to titles office compliance examinations for each jurisdiction of Australia
- Maintaining and monitoring all Land Title compliance registers
- Conducting Verification of Identity checks, including in person meetings with clients and virtually
- Advising on Land Title requirements, lodgement rules, attend to registration and dealing with any requisitions
- Assisting with property searches, company searches, searches of the Personal Property Securities Register, and registrations on State, Territory, and Federal property and corporate registers including the Personal Property Securities Register
- Assisting with ad hoc compliance and risk management work as directed by the transaction and compliance specialists
- Attending to the firm’s PEXA account management and transaction tasks including:
- Opening and monitoring PEXA workspaces, communicating with other law firms on PEXA transactions;
- Completing paper lodgements (via lodgement agents or postal);
- Attending to financial settlement tasks, including trust fund preparation;
- Monitoring PEXA security and authorities;
- Arranging Client Authorisation Forms;
- Attending industry meetings, and keeping up to date with and reporting internally on PEXA updates;
- Conducting PEXA onboarding and outboarding;
- Facilitating internal PEXA committee meetings and liaising with the firm’s general counsel and chief risk officer; and
- Maintaining and updating policy and procedure documents.
About you
Ideally you will have 2+ years administration experience within a transactional team (banking, property, corporate, technology) at a law firm, professional services or property firm and you will also be/have:
- Strong attention to detail and a focus on quality
- A curiosity and inquisitive nature that means you ask questions, query unusual outcomes, and seek answers and solutions to difficult situations rather than making assumptions
- Ability to take initiative to implement firm policy and procedures
- Confidence to drive process and bring new ideas to improve efficiency within the Banking + Projects group
- Commitment to premium client service
- Strong organisational skills whilst working to strict deadlines
- Strong communication and interpersonal skills
- Intermediate Microsoft Office Skills
- Experience with SharePoint and file management systems
- Experience with PEXA and NetDocuments is desirable but not essential
- Experience conducting land title, ASIC and PPSR searches is desirable but not essential
- Someone who is energetic, self-motivated with a willingness to upskill and looking for a career within a top tier corporate law firm.
