Our opportunity
We’re looking for a highly organised and proactive Secretariat Coordinator & Personal Assistant to support the Company Secretariat team and the Group Company Secretary. This role is central to the smooth and effective functioning of the team, combining executive support with driving operational efficiency, managing critical documentation, and fostering a collaborative team culture. It’s a unique opportunity to contribute to the performance of a trusted partner of the Board and executive team within Mirvac.
Your responsibilities will include:
Taking a lead role in driving team initiatives, coordinating meetings, offsites, training and events.
Actively supporting the team’s operations, managing invoices, tracking budgets, reporting, and assisting with Director travel and logistics when needed.
Providing confidential and professional administrative support to the Group Company Secretary including diary management, travel coordination and expense processing.
Championing continuous process improvements across the team, maintaining digital tools and leveraging technology and AI to enhance productivity.
Managing the accurate and proper execution of legal and corporate documents and contracts in line with the Corporations Act and internal procedures.
Your point of difference
With at least 2 years’ experience as a Personal Assistant to a senior executive or a similar role, you are adept at diary management and engaging effectively with senior stakeholders.
You’re a strong administrator with excellent time management, planning and organisational skills, capable of juggling multiple deliverables and competing priorities to meet deadlines.
Your problem-solving abilities, process improvement skills and proficiency in using technology to drive efficiency are complemented with a passion for continuous learning.
While an understanding of the legal requirements for document management is preferred, your proactive, “can-do” approach, and ability to work both independently and as part of a team will set you up for success.
