About the role
We are seeking an experienced Organisational Development (OD) Coordinator to join our team based in Sydney, NSW.
The OD Coordinator is responsible for managing the required learning processes in Workday and general administrative support and coordination activities across the OD team including managing the L&D inbox, reporting, coordination of OD events or courses, and invoicing. This role contributes to and supports key people initiatives delivered by the OD team.
Key Responsibilities and Accountabilities:
Required Learning Administration (essential for maintaining our licence to operate.
- Assigns required learning to new starters, transfers and secondees at the agreed interval (weekly or as otherwise agreed) by following process documents.
- Manage process documents/procedures to ensure they are up to date – with a focus on continuous improvement to identify opportunities for improvement or issues and escalates with the ability to problem solve seeking input and support from others as required.
- Manage the reporting requirements for required learning
- Creates modules in Workday and bulk assign modules as per the Required Learning Calendar by following the process documents.
- Manage the required learning calendar with input from stakeholders, that considers the employee experience (what needs to be required learning and quantity/timing of required learning) - including asking questions, escalating concerns as appropriate.
- Manage the Financial Service and Product advice learning program with our external vendor to enrol the relevant people, manage queries and extract and enhance reporting for the business to monitor completions
Other Support and Admin:
- First point of contact for the business via management of the OD functional mailbox - reviewing and investigating, responding or engaging the appropriate stakeholder to respond.
- Coordination of OD events and courses including sourcing and booking venues and other related suppliers, managing vendor onboarding and invoicing, loading events/courses onto Workday, sending out invites, managing attendance
- Supporting onboarding activities for new employees – e.g. planning/scheduling sessions, coordination of stakeholders, gathering data, sending emails to new starters/leaders
- Reviews and provides recommendations to enhance policies, standards and procedures to ensure they are relevant and up to date.
- Supporting the OD team with invoicing and managing the OD budget – including reconciling costs, managing reimbursements/distributing charges to other cost centres
To be successful in this role you will have:
- A process-driven mindset with a passion for turning good processes into great ones through thoughtful, ongoing improvement
- Prior experience in an Administration or Coordination role in a similarly structured environment (experience using Learning Management Systems is desirable)
- Comfort working with data, reporting, and managing budgets or invoices (including Excel skills to do vLook Ups, filtering, sorting, pivots)
- Strong organisational skills + attention to detail.
- Confident communication skills and a collaborative approach with the ability to manage multiple tasks and stakeholders.
