About The Role

We’re looking for an experienced Executive Assistant (known internally as an Administrative Business Partner) to join our Melbourne team in a full-time capacity. In this role, you will provide high-level executive and operational support to Melbourne-based Partners and their teams, contributing to the delivery of client projects and core business activities, with occasional overflow support for other senior staff.

This role is ideal for someone who thrives in a fast-paced, professional environment and has a proven track record of supporting senior executives in a corporate or similarly complex setting. You’ll be exceptionally organised, adaptable, and confident in managing multiple priorities and able to adapt to different working styles.

You will work closely with the Administrative Assistant in Melbourne to ensure the smooth operations of the office and foster a positive and supportive culture. You will be part of the broader National Business Support Team to drive productivity, foster collaboration, and enable meaningful connections across both internal teams and external stakeholders. Your contribution will help our leaders focus on what matters most — delivering impactful work for our clients.

We’re looking for someone who takes pride in being the go-to support for senior leaders, brings strong emotional intelligence, and can navigate a dynamic workplace with both professionalism and a great sense of humour.

Please note that this role is predominantly office-based in Melbourne CBD, Monday to Friday.

Key Responsibilities

Executive Support to Partners, including:

  • Provide high-level administrative support, aligned with strategic objectives and business outcomes.
  • Manage inboxes, calendars, and correspondence with professionalism and discretion, prioritising tasks to maximise productivity.
  • Coordinate meetings and events for internal and external stakeholders, across multiple time zones, including scheduling, preparing agendas and briefing materials.
  • Draft, proofread, and finalise professional documents, including letters, proposals, and presentations.
  • Coordinate or contribute to operational responsibilities and client projects as required, ensuring follow-through on timelines and deliverables.
  • Oversee end-to-end travel arrangements, including bookings, approvals, itineraries, accommodation, and expense reconciliation, in line with company policies.
  • Maintain accurate and up-to-date client databases, contact records, and online filing systems.
  • Assist with invoicing, expense reconciliation, and timesheets.
  • Build and maintain strong relationships across internal teams and with client contacts to support a high standard of service delivery.
  • Collaborate with other Business Support and internal team members to provide seamless, consistent support across the business, including occasional assistance for other leaders and staff members as needed.

Skills & Experience

  • Minimum 3 years’ administration level experience in a corporate or professional services environment, with specific experience in Executive support
  • Professional presentation
  • Strong organisational and time management skills
  • Proficiency in Microsoft Office Suite (Word, Excel, Outlook, MSTeams)
  • Experience using HubSpot would be well regarded
  • Strong focus on client service
  • Excellent written and verbal communication skills
  • Ability to work both independently and collaboratively
