We are seeking a highly capable Administrator to join a small, hands-on team based in North Melbourne. This 6-month contract will support a busy team through a transitional period as part of a proposed business sale. You will play a key role in keeping operations running smoothly by providing high-level administrative support and ensuring processes remain structured and on track.

The Role

Reporting To The Maintenance Lead, Your Responsibilities Will Include

  • Supporting workshop operations through accurate data entry and job card management
  • Updating systems and running reports
  • Raising purchase orders and processing invoices
  • Coordinating vehicle roadworthy inspections and managing the associated schedule
  • Acting as the key contact for roadworthy service providers, managing bookings and escalations
  • Providing administrative support to the Senior Administrator and wider maintenance team
  • Ensuring clear and consistent communication with business stakeholders
  • Monitoring timelines, following up with managers, and maintaining structured workflows

About You

To Succeed In This Role, You Will Bring

  • Proven experience in a senior administration role
  • High attention to detail and strong data entry skills
  • Experience with purchase orders, invoicing, and reporting
  • Intermediate Excel skills and confidence using internal systems
  • Strong communication and follow-up skills
  • A proactive, self-driven approach and the ability to manage competing priorities
  • Experience coordinating or supporting pre-planned programs (roadworthy inspections desirable)
  • The ability to work independently while supporting a collaborative team
