About The Role

We are seeking a highly organised and proactive Executive Assistant / Administration Officer for a 12-month fixed-term contract. This role includes a 6-month maternity leave cover for HR administration duties. You will provide comprehensive executive support to senior leadership and ensure the smooth running of administrative and HR functions.

Key Responsibilities

Executive Support

  • Manage complex calendars, schedule meetings, and coordinate appointments for senior executives.
  • Arrange domestic and international travel, prepare itineraries, and process expense claims.
  • Prepare and edit correspondence, reports, presentations, and other documents.
  • Organise and support meetings, including agenda preparation, minute-taking, and follow-up on action items.
  • Act as the primary point of contact between executives and internal/external stakeholders.

Office Administration

  • Provide general administrative support to the team.
  • Assist office manager with reception and organisation of company events.
  • Assist with documentation for WHS.

HR Administration (6-Month Maternity Leave Cover)

  • Support onboarding and offboarding processes for employees.
  • Maintain HR records within confidential filing systems and databases
  • Coordinate recruitment activities, including scheduling interviews and liaising with candidates.
  • Assist with employee communications and HR policy updates.

Other Duties

  • Support special projects and events as required.
  • Collaborate with other administrative staff and provide backup support as needed.

Skills And Experience

  • Proven experience in an administrative or executive assistant role; HR administration experience highly regarded.
  • Highly organised, adaptable, and able to manage changing priorities.
  • Exceptional communication and interpersonal skills, with the ability to liaise effectively with candidates, employees, and managers.
  • Proactive, positive, and solutions-focused approach.
  • Flexible and collaborative, able to work with diverse teams.
  • Proficient in Microsoft Office Suite (Excel and PowerPoint essential).
  • Experience using an HR Information System and working in a compliance-focused environment.
  • Strong attention to detail and the ability to learn quickly.
  • High level of discretion and ability to maintain confidentiality.
