About the role:

As a Practice Coordinator in our Restructuring & Recovery division based in Melbourne, you'll play a pivotal role in ensuring the seamless operation of our service. As the Practice Coordinator, you'll be involved in administrative support, financial administration, debtor management, client onboarding, and CRM database maintenance. This multi-faceted role offers the opportunity to be at the heart of a dynamic team, driving operational excellence and contributing to our success.

Key responsibilities:

  • Manage the Partner's calendar and mailbox, schedule appointments, resolve conflicts, and ensure timely task completion.
  • Arrange meetings, including booking rooms, catering, and virtual conference setups.
  • Assist in preparing documentation and information for meetings.
  • Support with ASIC, AFSA and internal reporting, as well as ad-hoc administrative tasks.
  • Handle debtor management, including bill preparation and payment follow-ups.
  • Coordinate banking activities, such as loading payments and preparing transfers for approval.
  • Provide financial administration support, including processing accounts for payment.
  • Prepare monthly bank reconciliations and maintain up to date cash books.
  • Preparation of BAS on insolvency engagements.
  • Assist with client onboarding, including research, reports, conflict checks, and ASIC searches.
  • Maintain and update the team's CRM database through regular reporting and liaison with Partners and employees.
  • Support business development efforts.
  • Organise team initiatives, including functions, meetings, training, and employee movements.
  • Collaborate with the administration team to ensure efficient service line operations and coverage when needed.

About you:

We are seeking a proactive and detail-oriented Practice Coordinator who thrives both independently and as part of a collaborative team. Your excellent communication skills, financial literacy and keen attention to detail will ensure you succeed in this role.

Experience & attributes:

  • At least 2 years of experience in a similar role; professional services experience is desirable.
  • Completion of a TAFE or Business College administration course is desirable.
  • Experience with CRM software and proficiency in Microsoft Office packages (intermediate/advanced level).
  • Knowledge of CoreIPS is desirable
  • Ability to work in fast-paced environments and balance competing priorities.
  • Strong communication skills and attention to detail.
  • A high level of financial literacy
  • Initiative to follow up on overdue tasks and ensure timely completion.
