The Onsite Supervisor is responsible for overseeing site-based requests, maintenance activities, contractor management, and supporting the Senior Facilities Manager in delivering a high standard of facilities and asset management services. This role plays a key part in ensuring the safe, compliant, and efficient operation of client sites while maintaining strong stakeholder relationships.

General Site Management

  • Respond promptly to site requests and issues, providing initial assessment and resolution where possible.
  • Perform minor electrical works as required.
  • Manage contractors attending client sites to ensure work is completed safely, to scope, and in line with client expectations.
  • Assist in inducting contractors and ensuring compliance with site-specific safety and operational procedures.
  • Maintain strong communication with clients, contractors, and internal teams, fostering positive relationships.
  • Manage work orders, including reviewing service reports, responding to work orders, and ensuring timely close-out.
  • Assist in maintaining, inspecting, and managing client assets to uphold property standards and compliance.
  • Support the Senior Facilities Manager with additional tasks and project-based work as needed.
  • Manage minor works projects independently from initiation through to completion when required.

Asset Management

  • Support the implementation of property asset and maintenance plans/schedules, ensuring compliance with client contractual obligations.
  • Develop and maintain a sound understanding of asset management requirements across the property portfolio.
  • Regularly update and maintain asset management records to ensure accuracy and completeness.
  • Schedule and coordinate maintenance activities aligned with asset management strategies.
  • Analyse reactive maintenance data to support continuous improvement initiatives.
  • Provide regular reporting on completed and upcoming maintenance activities to enhance visibility and accountability.

Facilities Management

  • Oversee the execution of preventative, routine, and reactive maintenance activities.
  • Engage, coordinate, and manage contractors and service providers for maintenance and minor works.
  • Develop detailed scopes of work for contractor engagement.
  • Raise and manage work orders, tracking their progress and ensuring timely completion.
  • Escort contractors to work areas, coordinate their tasks, and ensure site inductions are completed prior to commencement.
  • Follow up outstanding work orders and resolve any delays or issues.
  • Accompany service providers during inspections and work verifications.
  • Review contractor recommendations and ensure compliance with safety and statutory obligations.

Procurement and Contractor Management

  • Procure and manage contractors in line with client and contractual requirements.
  • Ensure accurate quoting and procurement processes are followed.
  • Monitor and assess contractor performance, conducting regular engagement and addressing performance concerns.
  • Report contractor performance outcomes transparently to the client’s property team.

Emergency Management

  • Assist Chief Wardens during emergencies by addressing facility-related concerns.
  • Support the planning and execution of emergency evacuation drills.
  • Provide advice on facility matters to aid in emergency response efforts.
  • Ensure compliance with fire safety, health, and workplace safety regulations.
  • Promote and maintain a safe working environment across all sites.

Client and Stakeholder Management

  • Actively participate in Building Management Committee and Owner-Tenant meetings.
  • Address client-specific property concerns and provide effective solutions.
  • Enhance reporting frameworks and seek opportunities for operational improvements.

Collaboration and Reporting

  • Build and maintain strong relationships with the client team, landlords, on-site staff, and service contractors.
  • Record and report incidents promptly and assist in investigations as required.
  • Attend key meetings including:
  • Weekly Client Property Team meetings
  • Monthly Facilities Management and Operational meetings
  • Ensure compliance with all relevant Key Performance Indicators (KPIs) and Service Level Agreements (SLAs).

Qualifications

  • Security Clearance: Minimum Baseline Security clearance.
  • Must be electrical or mechanical (HVAC) qualified

Experience

  • Previous experience in facilities management, maintenance supervision, or a similar field.
  • Strong contractor management and procurement experience.
  • Excellent verbal and written communication skills.
  • Demonstrated ability to build and maintain effective relationships.
  • Sound understanding of asset management principles.
  • Strong organisational and work order management skills.
  • Commitment to maintaining a safe and compliant working environment.
  • Ability to manage multiple tasks and minor projects simultaneously.
  • Proficiency in Microsoft Office Suite and facility management systems (e.g., work order management platforms).

Job Type: Full-time

Pay: $100,000.00 – $110,000.00 per year
