The role An exceptional opportunity awaits a Practice Administrator who is interested in joining a top-tier Australian law firm. We are seeking an experienced administration professional with expertise in managing billing processes, ideally with experience using the Aderant Expert system. In this role you will be an instrumental part of our administration team providing direct administrative support to the Partner whilst also managing billing processes, fee proposals for our legal tenders, budget reports and matter administration in relation to MPC's key clients Key responsibilities in the role will include;
  • Provide high-level secretarial and administrative support to the Partner and her team of legal practitioners
  • High-level diary management with an emphasis on organising client meetings, including a proactive approach to reorganising commitments on a needs basis
  • managing all aspects of matter set up and administration, including implementation of rates, budget tracking and monitoring of value add activities and discounts
  • coordinating all aspects of invoicing including write-off
  • assisting with estimating costs, both in relation to new work and increases in current matter estimates
  • providing regular matter reporting to clients and internal stakeholders
  • Managing incoming correspondence, emails and internal and external requests, as well as providing a proactive and efficient approach to producing correspondence without direction
  • Undertaking conflict searches on firm data base, preparing conflict emails
  • Work as part of a cohesive team of Practice Administrators supporting the wider MPC team and be willing to step in and assist other MPC team members during busy periods
Skills & Experience To excel in this role, we are seeking a candidate with;
  • Previous experience in an administrative and/or secretarial role, in the legal sector
  • Proficiency in billing processes, with previous experience using Aderant Expert software desirable
  • Highly organised with meticulous attention to detail
  • Strong multitasking and prioritization skills, especially in high-pressure situations
  • A flexible and proactive approach with a demonstrable drive to contribute to the business's success
  • The ability to build and nurture positive relationships with colleagues and clients
  • Advanced technical skills (Outlook, Word, Excel, and PowerPoint)
  • Professionalism in communicating / organising meetings with high-level internal and external stakeholders
