We are seeking a highly capable and adaptable Float Executive Assistant to join our Sydney team for 12-months. In this dynamic role, you will provide seamless desk coverage for Executive Assistants (EAs) who primarily support Partners within our large professional services organisation, during the times when EAs are out of the office for holiday, illness, events, etc.
As a Float Executive Assistant, you will bring a professional, proactive, and responsive approach to your work. The role requires someone with exceptional autonomy, a "can-do" attitude, and meticulous attention to detail. You will have the opportunity to build strong, ongoing relationships with Partners, their clients, client assistants, internal colleagues, and EAs across our global network.
In this role, you will act as a trusted representative for the Partners, ensuring smooth interactions with clients, internal and external stakeholders, and other key contacts. Maintaining the confidentiality of highly sensitive information will be paramount as you support the Partners in achieving their goals.

Primary Responsibilities
- Complex diary management across multiple time zones at a senior level
- Planning and management of complex travel arrangements and itineraries, for very busy diaries, with an awareness of Partners' priorities
- Prioritising and navigating a busy inbox, responding in a timely manner
- Screening and dealing with calls and correspondence proactively, responsibly and professionally with an awareness of Partners' priorities
- Developing strong relationships quickly with Partners, EA colleagues and other firm members
- Liaising with clients, teams and other contacts effectively and efficiently
- Working with EAs in a collaborative team environment
- Providing detailed and clear handover notes, to ensure Partner cover/support remains seamless at all times
- Ad hoc project work, client events, internal conferences, depending on Partners' needs
- Additional administrative responsibilities, which may include filing, maintaining records, expenses, timesheets and contact databases
- Pushing self-development by identifying and pursuing self-defined development goals, attending relevant training and addressing any identified development areas
- Several years' experience working at a senior level in a professional, dynamic environment
- Strong working knowledge of Microsoft Office
- Proven organisational skills, with extensive experience managing complex diaries at a senior level
- Ability to handle multiple deadlines with excellent time management and prioritisation skills
- Capacity to switch between detailed work and the bigger picture to anticipate Partners’ needs
- Initiative and a proactive, solutions-oriented approach with logical problem-solving skills
- Ability to develop relationships quickly with people at all levels and from diverse backgrounds
- Positive attitude and a commitment to providing the highest levels of client service
- Trustworthiness, discretion, and personal integrity, maintaining confidentiality at all times
- Strong team spirit and ability to work collaboratively with EAs and consultants
- Emotional maturity and empathy to support both Partners and EA colleagues
