Role Review
- Read all Wealth Strategist emails, identify the appropriate person to action each request, and compile a summarised email with key items requiring attention, including seeking feedback on necessary actions.
- Organise, start, and moderate Zoom meetings, take meeting minutes, and upload records into SharePoint.
- Prepare meeting documents, including agenda preparation, and follow up on action items on behalf of the Wealth Strategist.
- Manage the Wealth Strategist’s diary, handle modifications and reschedules, and optimise their time efficiently.
- Generate reports as required.
- Organise and collate travel plans, including flights, cars, accommodation, restaurant/meeting room bookings, and other logistics.
- Organise marketing materials for property presentations and events.
- Follow up on property-related enquiries from clients, ensuring timely responses and clear communication.
- Act as a key liaison between internal teams (Contracts, Finance Strategists, Wealth Strategists) and external stakeholders (developers, agents, legal representatives) to ensure seamless information flow and issue resolution
- Respond to client queries regarding property availability, specifications, pricing, contract processes, and other key details, escalating complex enquiries as needed.
- Attend Real Estate Mastery events in full, assisting with marketing, client follow-ups, and stock swaps.
- Conduct further fact-finding on client strategy documents to prepare for Wealth Strategists.
- Attend corporate events every two months over the weekend.
- Be available outside standard business hours to assist clients and partners across different time zones.
- 3+ years in Executive Assistance or similar roles (Events Assistant, Admin Assistant, Project Assistant)
- 3+ years supporting property sales in Finance or Real Estate industry
- Proven experience managing an executive's diary and calendar
- Strong organizational and time management skills
- Exceptional attention to detail
- Excellent written and oral communication skills
- Knowledge of the financial services industry is advantageous
