About The Role

The Civic Events Officer is responsible for managing the planning, implementation, delivery and review of all civic recognition and civic events to a consistently high standard, ensuring alignment with Council’s policies, goals and strategic priorities.

This includes the coordination and delivery of official openings, launches, media opportunities and ribbon‑cutting events for key project milestones, undertaken in collaboration with relevant State and Federal departments and Ministerial offices.

The role oversees the end‑to‑end planning and delivery of Citizenship Ceremonies on behalf of the Department of Home Affairs, ensuring full compliance with the Australian Citizenship Ceremonies Code. As one of the primary contact points for the Executive and Civic Services team, the Civic Events Officer provides a high level of service to both internal and external customers.

A key component of the role is promoting a positive, professional image of the Civic Support team, maintaining the highest standards of integrity, professionalism and confidentiality at all times. The position also contributes to building a high‑functioning, collaborative Civic Support office by working effectively with team members and delivering services in accordance with documented procedures and protocols.

This is a fixed term parental leave opportunity through to February 2028.

About You

We are seeking a Civic Events Officer to deliver high‑quality civic events, Citizenship Ceremonies and milestone events.

You will work closely with internal teams, dignitaries, community groups and other levels of government to ensure every event is seamless, professional and reflective of Council’s standards.

Key Selection Criteria

  • Relevant tertiary qualifications in event management or a related field, or substantial experience in events coordination roles, preferably within local government or a politically sensitive environment.
  • Demonstrated experience in planning, coordinating, and delivering events, with a strong understanding of event management principles - preferably within a government setting. Proven high level administrative skills and the ability to manage confidential, complex, and politically sensitive matters in a customer focused environment
  • Exceptional organisational and time management skills, with a proven ability to deliver high-quality work under pressure, within strict deadlines with impeccable attention to detail anda high level of accuracy in all aspects of work, while effectively managing competing priorities and adapting to changing demands.
  • Outstanding interpersonal, communication and public relations skills, with proven ability to exercise sound judgement, discretion and engage confidently with a wide range of stakeholders, including in challenging or sensitive situations.
  • Strong analytical skills, including the ability to conduct research, interpret data, and support informed decision-making, alongside sound judgement and initiative in resolving issues
  • Highly self-motivated with demonstrated resilience and adaptability in dynamic environments, with the ability to work independently and collaboratively as part of a high-performing team in a fast-paced, high-profile setting.
  • Advancedproficiency in Microsoft 365 and corporate systems for document management, scheduling, and record keeping, with demonstrated ability tomaintain and improve administrative procedures with strong attention to detail.
  • Flexibility to work outside standard office hours, as required, to manage the successful delivery of civic events and ceremonies.
  • A current Victorian Drivers Licence.
  • Demonstrated ability to champion, model and promote the corporate values.
