Executive Assistant to CEO / Managing Director & CFO

The Opportunity
PERSOL is partnering with a leading ASX-listed technology and life sciences organisation to appoint an experienced Executive Assistant to support the CEO / Managing Director and Chief Financial Officer.
This is a senior, high-trust role within a fast-paced and highly confidential executive environment, providing high-level executive, Board and governance support across a complex and growing organisation.
Based at the company's Eight Mile Plains Technology Park location, you will play a central role in the effective operation of the CEO's office, working closely with senior executives, Board members and key internal and external stakeholders.
This opportunity would suit an accomplished EA who enjoys operating at a senior level, is highly organised and proactive, and brings strong judgement, discretion and attention to detail.
Key Responsibilities
Executive Support
Provide high-level Executive Assistant support to the CEO / Managing Director and CFO
Manage complex and dynamic diaries, meetings, priorities and competing demands
Coordinate Board meetings, investor engagements and executive commitments
Ensure executives are fully briefed with relevant documentation, agendas and pre-reading
Anticipate executive requirements and proactively manage priorities and follow-up actions
Board & Governance Support
Prepare and coordinate Board and Committee papers, agendas and minutes
Support governance processes in conjunction with the CFO and Company Secretary
Coordinate Board meeting logistics, documentation and follow-up actions
Assist with ASX-listed company administration and investor relations requirements
Maintain high levels of accuracy and confidentiality across all governance documentation
Executive Communication & Documentation
Draft, prepare and refine executive correspondence, reports, briefing notes and presentations
Produce polished, Board and investor-ready documentation
Coordinate and collate information from multiple stakeholders
Ensure consistency, accuracy and professional presentation across executive materials
Travel & Events Coordination
Coordinate complex domestic and international travel, itineraries, visas and logistics
Prepare executive briefing packs and travel documentation
Support investor roadshows, conferences and executive events
Manage changes and last-minute arrangements with minimal disruption
Stakeholder Management
Liaise confidently with Board members, executives, investors, regulators and external advisers
Act as a professional and trusted gatekeeper for the CEO's office
Build and maintain strong relationships with senior stakeholders
Represent the executive office with professionalism and discretion
General Executive Support
Manage expenses, invoices and reconciliations
Assist with ad hoc executive projects and initiatives
Provide support to the broader executive team as required
Take ownership of tasks and follow through to completion
About You
We are looking for an experienced Executive Assistant who is confident operating in a senior corporate environment and understands the level of discretion, judgement and professionalism required when supporting C-suite executives.
You will ideally bring:
Previous experience supporting C-suite executives, senior partners or equivalent leadership roles
Exposure to Board and governance processes
Experience within an ASX-listed, corporate, professional services, Big 4, legal, mining, energy or similar environment
Advanced Microsoft Office / Microsoft 365 capability, including Word, PowerPoint, Outlook, Teams and Excel
Excellent written communication and document preparation skills
Strong discretion and the ability to manage highly confidential information
Exceptional organisation and attention to detail
Proven ability to manage competing priorities and shifting deadlines
Experience coordinating complex domestic and international travel
Confidence engaging with senior executives, Board members and external stakeholders
Exposure to investor relations or corporate communications will be highly regarded
