Submissions Manager

The Submissions Manager is a Melbourne-based role responsible for Fieldwork’s bids, tenders, expressions of interest and fee proposals from start to finish. This is a hands-on role responsible for producing high-quality, compliant, on-time submissions, managing the process and writing and assembling the documents themselves. Working closely with the Commercial Director, Directors and project teams, the Submissions Manager turns new business opportunities into compelling, winning submissions.

Key Responsibilities

  • Manage and prepare bids, tenders, expressions of interest, panel submissions, grants and fee proposals from start to finish.
  • Write, edit, format and produce high-quality, on-brand and fully compliant submission documents.
  • Coordinate submission programs, stakeholder inputs, subconsultant scopes and fee proposals, and lodgement to ensure every submission is delivered on time.
  • Build and maintain the bid library, including project case studies, CVs, capability statements, templates and standard responses.
  • Capture tender feedback and continuously improve submission templates, processes and win rates.
  • Maintain the opportunity pipeline, CRM and submission records, including client and tender compliance requirements.
  • Work closely with the Finance Manager, Studio & Brand Manager, Directors and project teams to coordinate fee proposals, content and successful project handover.

About You

  • Experience preparing and managing bids, tenders or submissions, ideally within architecture, design, engineering or construction.
  • Excellent writing, editing and document production skills, with a strong eye for detail and compliance.
  • Strong project management and communication skills, with the ability to coordinate multiple submissions, competing deadlines and inputs from senior stakeholders and subconsultants.
  • Confidence building and maintaining collaborative relationships with clients, consultants and project teams.
  • Proficiency in Adobe InDesign, Microsoft 365, CRM platforms and online tender portals.
