The Logistics Support Officer is responsible for supporting the coordination and execution of logistics activities across domestic, import, and export shipments. The position focuses on preparing shipment documentation, managing shipment data, coordinating with internal and external stakeholders, and maintaining accurate records to support efficient and compliant logistics operations.

The role also provides administrative and operational support to ensure smooth day-to-day functioning of logistics activities, including managing the shared shipping mailbox and responding to general logistics-related queries.

This is a Full Time

Fixed Term position for a period of 12 months.

  • Shipment Coordination & Execution
  • Coordinate shipment requests based on internal shipping request forms
  • Prepare shipment details and booking requirements for review and approval
  • Arrange and book domestic, import, and export shipments through freight forwarders and courier providers (e.g. DHL, FedEx, TNT)
  • Ensure all shipments are booked only following approval from the Logistics Procurement Manager
  • Monitor shipment progress from dispatch through to delivery and follow up with carriers as required
  • Escalate delays, issues, or non-standard shipments in a timely manner
  • Documentation Preparation
  • Prepare and manage complete shipment documentation, including:
  • Commercial Invoices
  • Packing Lists
  • CIPL (Commercial Invoice & Packing List)
  • Shipper’s Letter of Instruction (SLI)
  • Other required shipping and compliance documents
  • Ensure all documentation is accurate, complete, and prepared in line with company procedures
  • Submit documentation to freight forwarders following approval
  • Support RFQ processes by preparing complete shipment information packs
  • Data Management & ERP Transactions
  • Gather and validate shipment data, including dimensions, weight, value, destination, and shipment scope
  • Extract relevant shipment information from ERP systems (Epicor)
  • Complete required inventory transfer transactions in the ERP system
  • Ensure consistency between shipment data, documentation, and booking details
  • Stakeholder Coordination
  • Liaise with internal teams including Warehouse, Production, Engineering, Quality, Business Development and Marketing, and Packaging to obtain accurate shipment information
  • Coordinate with freight forwarders and logistics partners to ensure timely execution as directed by Logistics Procurement Manager
  • Respond to internal stakeholder queries regarding shipment status and logistics activities
  • Communication & Mailbox Management
  • Manage and monitor the shared logistics/shipping mailbox
  • Respond to general shipping-related queries in a timely manner
  • Coordinate responses with relevant stakeholders where required
  • Ensure clear and accurate communication across all logistics activities
  • Tracking, Reporting & Record Management
  • Maintain accurate shipment logs and tracking records using Excel and internal systems
  • Monitor and update shipment status regularly
  • Maintain organised filing of all shipping documentation for audit and retrieval purposes
  • Support document archiving and record management processes
  • Compliance & Process Adherence
  • Ensure all logistics activities comply with EOS procedures and workflows
  • Support export and import documentation compliance requirements
  • Ensure no shipments proceed without proper approvals and documentation
  • Escalate high-risk, urgent, or complex shipments as required
  • Continuous Improvement & Administrative Support
  • Support improvements in logistics processes, documentation, and workflows
  • Assist in the development and standardisation of templates and procedures
  • Provide general administrative support to the logistics function
  • Contribute to operational efficiency initiatives within the Supply Chain team
  • Perform additional duties as directed by the Logistics Procurement Manager
